The Role

We're looking for a proactive, detail-oriented Operations Associate to help power the engine behind DNAstack's growth. Reporting to the Senior Manager of Operations, you'll own day-to-day operations that keep our team organized, connected, and growing — managing our Toronto office, supporting finance and HR functions, coordinating company-wide programs and events, and continuously improving how we work. You'll collaborate across teams, lead projects end-to-end, and help shape a vibrant, efficient workplace.

Although DNAstack is a remote-first company, this role is hybrid. We're looking for someone based in Toronto who can join us onsite 3 to 4 times per month, and additionally as needed.

You'll thrive in this role if you have at least four years of experience in operations or administration, are process-driven and detail-oriented, communicate clearly, take initiative without being prompted, and enjoy collaborating closely with others.

What You'll Be DoingRoles and Responsibilities
  • Office and Operations Management
    • Manage the Toronto office, including handling mail, shipments (e.g., welcome kits), supplies, branded merchandise, room bookings, and sourcing new office space as needed. This role requires someone based in Toronto who can be onsite 3 to 4 times per month, and additionally as needed.
    • Track and manage team equipment, office supplies, and other key assets.
    • Respond to employee requests, including T4s, employment letters, and other documentation needs.
    • Assist in planning, drafting, and implementing new processes to improve team efficiency.
  • Finance and Administration
    • Manage purchasing, payments, invoicing, payroll coordination, receipt submissions, and expense tracking.
    • Support financial reporting efforts for key government projects in collaboration with the Finance Team.
  • Organizational Programs
    • Coordinate cross-team organizational processes, including annual performance reviews, holiday closures, team engagement surveys, and access reviews.
  • Culture and Engagement
    • Plan and execute monthly socials (in-person and virtual).
    • Organize major company events, including collaboration days, the year-end party, summer socials, leadership retreats and more.
    • Lead DNAstack's Culture Committee, employee recognition program and speaker series program.
  • Recruitment and Onboarding
    • Support talent recruitment by leading outreach, screening interviews, and scheduling the interview process in collaboration with Team Leads.
    • Coordinate onboarding and offboarding for all employees, as well as independent contractors.
  • Internal Communications and Meetings
    • Organize key team meetings (e.g., All Staff, Team Leads), including agenda development, presentation coordination, minute-taking, and action tracking.
  • Special Projects
    • Support the coordination and implementation of special projects and initiatives.
    • Perform additional operational and administrative duties as assigned.
What We're Looking For
  • Undergraduate degree.
  • 4+ years of experience in administration or operations.
  • Based in the Greater Toronto Area (GTA), available to be onsite 3 to 4 times per month, with additional availability as needed, including occasional evening commitments.
  • Strong administrative and organizational skills
  • Flexibility and adaptability to thrive in a dynamic, fast-paced startup environment.
  • Exceptional attention to detail with a habit of double-checking your work.
  • Excellent communication and presentation skills.
  • A self-starter who takes initiative, thrives in ambiguity, and owns processes and projects end-to-end.
  • Strong interpersonal skills and a collaborative, team-first approach.
  • Tech-savvy and proactive in streamlining and automating processes, with strong proficiency in GSuite, Slack, project management and HRIS platforms.
  • Reliable, solutions-oriented, and committed to continuous improvement and a growth mindset.

  • Experience in a startup environment or in a technology or life sciences company
