Nature and Scope
The Associate Registrar serves a key role in supporting the Registrar in the administrative and operational functions of the Office of the Registrar. As an employee of SIIT, the Associate Registrar adheres to a high level of confidentiality and ethics in the collection and use of information. This position will positively promote and create an environment that demonstrates SIIT's vision, mission, and mandate.
General Accountability
The Associate Registrar safeguards the integrity and accuracy of all academic records and data, facilitates effective student enrolment activities, reporting, lends support to and participates in projects led by the Registrar's Office.
As directed by the Registrar, the Associate Registrar participates in the management of key Registrar office functions including but not limited to program and student records, student pathways and transfer credit, data mining and reporting, database and systems administration. This position includes the following accountabilities:
Administration and Reporting- In collaboration with the Registrar, assess and recommend effective systems and procedures for capturing data and preserving the accuracy and security of the student information system
- In consultation with the Registrar, participate in the development and implementation of guidelines, monitoring and compliance to academic policies and established frameworks
- Assist with and ensure student data integrity and quality by monitoring, improving, and updating student data acquisition methods, data quality audits, and aggregate reporting
- Organize data to inform decision-making to improve transfer credit pathways to and from the Institute
- Assist in the preparation of reports to various departments within and external to the Institution
- Assist the Registrar with project development including serving on committees or teams, providing project analysis and research, preparing documents and reports
- Assist in the planning, administration, and implementation of software and systems including the Institute's learning management system
- Assist with supervision of staff when required
Student Registration Services
- In collaboration with the Registrar, assess, plan and direct workflow related to student registration activities
- Recommend, plan, coordinate and evaluate services to improve student registration activities
- Participate in the evaluation of all upcoming graduates to ensure that academic requirements have been met and issuance of credentials
- Remain current on programs, changes and new developments that will affect and/or improve Registrar services
- Participate in the planning of the annual convocation event
- Provide service excellence through respectful, informed, accessible and professional engagement with colleagues, students, external agencies, and stakeholders
- Build and maintain positive working relationships among departments across the Institute
- Represent and promote SIIT through external committees and events as required
- Remain knowledgeable on locally and regionally administered financial aid programs including, but not limited to: First Nation post-secondary funding, student loans, and other third-party sources
- Assist with the administration of approved student financial documentation
- Assist students and attend to incoming inquiries when appropriate and necessary
- Recommend best practices that support and inform students
People Management and Leadership
- Ensure a positive, diverse and inclusive work and learning environment
- Coach, develop and mentor direct reports to ensure their success; demonstrate leadership and initiative in sharing expertise with other team members
- Hold employees accountable for outcomes and a high level of performance by addressing people management issues within the department in a timely manner
- Provide leadership by delegating tasks, responding to staff inquiries and providing overall direction to team members
- Coordinate and balance the workloads of staff by effective work allocation, cross training, and prioritization
Required Qualifications and Experience: An undergraduate degree in business administration, education administration, or a related field is required. Three to five years of demonstrated related experience in post-secondary education administration is required. Proficiency in word processing, excel, and ability to learn a variety of software. Knowledge of First Nations cultures and organizations would be an asset. Incumbent must have a valid driver's license and reliable transportation as travel may be required. This position is subject to accept or handle monies on behalf of SIIT. Therefore, a cleared criminal record check (CRC) is required.
As this position is considered safety sensitive, the incumbent will be subject to testing as per SIIT's Alcohol and Substances policy.
