Job summary
This position provides administrative support to Advisory and Education and Engagement teams.
How you will make a difference
Sales Support
  • Supporting the Education and Engagement and Advisory teams with event coordination and member engagement initiatives such as event invite creation, marketing kit creation, marketing material inventory management and printing of supplies.
  • Supporting webinar and meeting invites for various Advisory and Educational meetings and seminars
  • Webinar-related tasks which involve creating an event, writing content, and managing distribution of content to the team
  • Reviewing registration lists for students and residents to remove any duplicates, followed by sending personalized emails to distribute the gift card and other items.
  • Handling the submission and tracking of Continuing Education (CE) credit requests for the Advisory and Education team
  • Attending events and seminars with the Advisory and Education team as needed
  • Support reporting on a weekly basis for Advisory (group / individual by advisor reporting)
  • Supporting retention Education and Engagement lead distribution and success tracking

Administration
  • Managing the swag inventory process, this includes updating inventory, ordering supplies
  • Monitoring the education and engagement email inboxes for inquiries, Essentials application processing, referrals, and sales or consultation requests from members and business partners, ensuring proper handling and distribution
  • Handling and tracking all CE Credits for the sales teams in the CRM system
  • Assisting with administrative requests that are required to support our Group, Individual insurance and Group Retirement savings program initiatives
  • Ordering catering for in person meetings and helping with logistics on orders for the entire A+E team

Projects/Campaigns and Data
  • Participating in Advisory and Education member facing initiatives and projects
  • Supporting data analytics for the team which includes updating reports and spreadsheets on outreach and other initiatives
  • Updating information in Salesforce relates to Events and Outreach and Campaigns for the advisory and Education team
  • Supporting the Associate Executive Director with marketing, technology and communication initiatives as required
  • Supporting other administration staff on an ad hoc basis for projects and initiatives they lead

Requirements that are important to us
  • Community College Diploma or University degree in Business/Office Administration, Marketing and Communications or equivalent
  • Two to three years of related sales, customer service, administration experience and demonstrates proficiency in office administration systems and practices and dealing with customers
  • Knowledge and understanding of the insurance industry
  • LLQP is considered an asset
  • Working knowledge with Salesforce CRM system
  • Ability to perform business and sales administration, member service/experience, and marketing initiatives
  • Working in a fast-paced sales support environment

The OMA has moved to a permanent hybrid work environment. As such, the individual in this position will be required to work a minimum number of days in our Toronto office.
