Position Overview:

We are seeking a highly organized and detail-oriented Inventory, Supply and Costing Analyst (ISC Analyst) to lead and support key inventory operations, coordinate supply chain activities, and manage financial analysis and reporting for both manufacturing and retail operations. This role is integral to ensuring accuracy, efficiency, and transparency in our cost structures and inventory management processes.

We are searching for an organized and detail-oriented ISC Analyst to manage our inventory operations, coordinate supply chain activities, and manage the financial analysis and reporting for our manufacturing and retail costs.

The ideal candidate should be familiar with inventory management, project costing, supply chain procedures, and have good communication skills in interacting with vendors, clients, and internal teams.

Key Responsibilities:

Overall responsibility for SOS (SOS is our inventory management system), Shopify (Shopify is our Retail store System) & Service Fusion (Service Fusion is our service operations system) for item/SKU creation and setup

Ensure all items in SOS are fully set up regarding profile, descriptions, QuickBooks (QBO) mapping, costs, sales prices, etc.

Building and maintaining purchase/vendor relationships.

Maintain and update inventory records and ensure that the SKUs/items are consistent across all platforms. This person will ensure that all the above systems continue to integrate and will identify issues and errors.

Ensure that the correct inventory is appearing across all platforms.

Develop and implement inventory control procedures and best practices.

Set up the Bill of Materials (BOM) in SOS for construction projects, in coordination with the construction team

Ensure that all jobs and items have the correct inventory associated with them, and costs are measured for each job/item, with proper reporting of inventory and costs on each job/item.

Ensure proper controls and correct accounting for returns and damaged goods.

Ensure proper record and disposal of production waste (workshop).

Regularly review and update sale and purchase prices of SKUS in SOS and Shopify.

Evaluate and set up an approved vendor list, update this regularly, and maintain records to this effect.

Negotiate credit terms as and when applicable.

Create purchase orders in SOS.

Review all open purchase orders for completion and closure.

Coordinate with vendors for purchasing/ delivery matters and issues.

Receive items in SOS after physical count (where applicable).

Match actual invoices with purchase orders in SOS.

Interact with shippers and import brokers for efficient and cost-effective delivery.

Provide a monthly aging and value analysis for inventory, establish EOQ and minimum re-order levels.

Once a quarter, carry out a physical count of inventory.

Skills and Qualifications:

  • Proven work experience in inventory management, procurement, and job costing, ideally within a manufacturing or production environment.
  • Proficiency with inventory management systems (SOS, Shopify, Service Fusion), QuickBooks Online, and MS Excel.
  • Strong background in financial analysis and reporting is highly desirable.
  • Strong analytical, organizational and problem-solving skills.
  • Strong Knowledge of costing techniques.
  • Knowledge of process-based workflows.
  • Detail-oriented with a commitment to accuracy and efficiency.
  • Excellent communication and collaboration skills.
  • Ability to work independently and as part of a team.
  • Self-motivated with the ability to work independently and collaboratively.
  • Knowledge of supply chain management and logistics.
  • CPA/CMA designation (or currently pursuing) is preferred but relevant experience will also be considered.
