The Position

The Project Coordinator – Design & Construction will hold a key administrative and coordination role within our Design & Construction Team. You are detail oriented and thrive on keeping the team organized, projects coordinated and have a passion to be an industry leader on equipment and building materials. Your project coordination, contract administration, kitchen equipment and building materials background and experience will support the team with new restaurant development, renovation and rollout programs for Franchise and Corporate projects. You are a natural problem solver with an ability to develop working relationships with a variety of stakeholders including internal Development & Operations Teams, Franchisees, equipment vendors, and contractors. You can take the initiative, be curious and elevate the team with your skills ensuring consistent project delivery.

Job Responsibilities

Key member of the Construction Team, reporting to VP of Design & Construction, providing Project Coordination and Construction Management support in the following areas:

  • Support new store development, renovation and rollouts with contract administration
  • Issues, manages and coordinates Bid Tender Packages with GCs and Equipment Vendors. Issues any Addenda/Notifications to GC/Vendors. Responds to or redirects any inquiries from vendors to PM/Consultants. Manage vendor RFP's by obtaining quotes, reviews and summarizes for PM approval/award vendor packages. Support PMs in preparing preliminary and final budgets
  • Maintain regular communication with the team, contractors, franchisees, trades, vendors, and all internal stakeholders for each project to ensure effective coordination of construction projects
  • Prepare and review tracking all relevant information including quotes, invoices, budgets, status reports and project schedules
  • Proficient in construction management software for online RFQs/RFPs, GC tenders, milestone tracking, contract administration, project cost control and accounting, site progress reports and document tracking
  • Compiles and updates Quarterly Capex Forecast report. Reviews project costing with PM to ensure accurate capital forecasting estimate. Creates and manages billing for approval. Manages third party to ensure all costing is submitted correctly. Submits all information required for Finance and AR processing. Provides ongoing support with Finance, Franchisees and PMs on any billing inquiries
  • Manage all permit and license applications and approvals required for projects such as but not limited to business and liquor licenses, health and fire department approvals
  • Knowledgeable with kitchen equipment specifications for commercial kitchens, mechanical, electrical and plumbing requirements to provide value engineering and support to the company on rollouts and new equipment proposals
  • Ensure compliance with all corporate procedures, operational standards and legal guidelines
  • Some travel may be required
  • Administrative tasks and any other duties assigned by VP of Construction

Qualifications

  • A Degree/Diploma in Building Technology, Construction Management or a related field preferred
  • 3-5 years project coordination experience within the restaurant or retail & franchise industry either on the client or contractor side preferred
  • Proficient in Adobe Suite, Blubeam Revu, MS Office suite and Construction/Project Management software
  • Fundamental understanding of the development, design and construction industries including processes, procedures, drawings and permits in all provinces
  • A proven ability of consistently completing projects on time and within budget objectives
  • Strong ability to manage challenging situations and people under tight timelines
  • Excellent verbal and written communication skills
  • Ability to read blueprints, schematics, field drawings and plans
  • Knowledge of Health & Safety regulations and related Building Codes with an understanding of different code requirement Nationally
  • Experience in a position requiring the simultaneous handling/coordination of multiple projects
  • A team-oriented approach to meeting goals and objectives
