Reporting to: Associate Registrar, Records & Systems

Salary:

Classification 17, $32.73 - 33.74 per hour, as per the BCGEU Support Collective Agreement. Temporary employees also receive an additional $0.58/hour in lieu of benefits, as well as having 6% vacation pay paid out with each pay.

Description:

The Records & Graduation Analyst coordinates and executes the student records and graduation functions of the Office of the Registrar, ensuring the maintenance, integrity and distribution of student records and graduation compliance.

As an integral part of the Office of the Registrar's team, the incumbent will:

  • Ensure that the maintenance and integrity of student records by monitoring business practices, analysing records and diagnosing issues.
  • Coordinates and completes end of term processing.
  • Ensures final grades are accurately recorded on student records.
  • Coordinates production and delivery of official transcripts, enrolment verification and other record requests.
  • Maintains transfer credit records.
  • Coordinates and executes all graduation processing functions.

Hours of work are 8:30 am - 4:30 pm.

Qualifications:

Required:

  • Relevant bachelor's degree and have two years of relevant experience (preferably in a Registrar's Office).
  • Strong analytic, organization, communication (oral, written, presentation), interpersonal and customer service skills.
  • Understanding of the Freedom of Information and Protection of Privacy Act regarding student records and their integrity.

An equivalent combination of education, training, and experience may be considered.

Preferred:

  • Knowledge of college policies and regulations related to student services, including registration, admissions, records, and grades.
