Position Summary
We are seeking a reliable and highly organized Administrative Assistant to join our Calgary team in a full-time, in-office capacity. This role is essential in ensuring the smooth daily operations of the office while supporting various internal functions including administration, accounting, IT coordination, reception, and onboarding. The successful candidate will be proactive, professional, and adaptable with a strong focus on service and detail.
Key Responsibilities Administrative Support
- Maintain inventory of office supplies and ensure all shared spaces are clean, organized, and fully stocked
- Format documents, manage incoming and outgoing mail, and support internal meeting coordination
- Provide general administrative support to all departments as needed
IT Coordination
- Support the setup and configuration of hardware and software for new and existing staff
- Troubleshoot minor IT issues and manage the offices IT equipment inventory
- Act as the liaison between staff and external IT support services
Reception & Visitor Management
- Greet and assist all visitors, ensuring a professional and welcoming first impression
- Maintain accurate visitor logs and coordinate meeting room bookings
Onboarding Support
- Facilitate onboarding logistics for new employees, including workspace setup and scheduling
- Provide administrative support throughout the onboarding process
Qualifications Education & Experience
- Certificate or Diploma in Administration, Business Administration, or a related field
- Minimum of 5 years of relevant administrative experience
- Experience in an engineering or energy industry environment is considered an asset
