What We Need from This Role

Reporting to the Manager, Building Services, the Building Services Administrator will play a critical role in supporting the operations of Onwards property maintenance and contractor management functions. This role focuses on overseeing maintenance-related administrative tasks, with a strong emphasis on contractor control, including pest control. The administrator will also serve as a key point of contact for tenant requests and facilitate communication between Resident Services and Building Services.

Key Duties and Responsibilities:

Support and Training

  • Train and assist team members on Onwards maintenance policies, processes, and procedures, including protocols for contractor management, pest control, and handling tenant requests.
  • Ensure consistency and best practices across maintenance teams to uphold service quality and operational standards.

Auditing and Compliance

  • Lead resolution of issues identified during maintenance audits, collaborating with teams to ensure appropriate corrective actions.
  • Conduct regular audits of maintenance contractor records, including pest control agreements, and related documentation using property management software such as Yardi.
  • Ensure all relevant documentation, including tenant requests and pest control records, is accurately and promptly entered into the Yardi system.

Operational Support

  • Act as the primary point of contact for receiving and managing all tenant requests, ensuring timely and effective resolution.
  • Generate and provide purchase orders to technicians for necessary supplies and materials, ensuring efficient procurement for maintenance tasks.
  • Create, review, and update manuals for maintenance policies and procedures, with a focus on pest control and other vendor relationships.
  • Administer maintenance-related operational programs, including pest control contractor oversight, vendor coordination, and compliance monitoring.
  • Support maintenance budgeting and invoicing processes, including tracking aged receivables, coordinating with contractors, and ensuring timely payments for contracted services.
  • Facilitate standard communication channels between Resident Services and Building Services to ensure effective collaboration and alignment on tenant and maintenance issues.

What You Bring:

  • A clear criminal background check/vulnerable persons check.
  • A minimum of two years of administrative experience, ideally within property management.
  • Experience with Yardi or similar property management software.
  • Strong knowledge of Residential Tenancy Acts is an asset.
  • Ability to work independently and handle multiple priorities.
  • Excellent customer service, communication, and problem-solving skills.
  • A team player with the ability to collaborate with diverse groups.

Youll Stand Out If You Also Have:

  • Previous experience with a not-for-profit housing organization.
  • Familiarity with property management software such as Yardi.

Working environment, conditions and physical demands

The position entails moderate physical activity such as property visits, alongside computer and desk work. The work environment may occasionally be stressful due to handling sensitive situations, managing competing priorities, and meeting tight deadlines. Hours are typically 37.5 per week but may vary based on circumstances, occasionally requiring after-hours and weekend work.
