We are presently accepting resumes for a vacant position of People and Culture Associate to provide administrative support to the People and Culture Office, this position is mainly focused on providing customer service, being the first point of contact for employees, answering a variety of employee inquiries, and staff training and support. This is an 18-month contract position.
Compensation package:
- Work up to 37.5 hours per week;
- Minimum starting rate of $26.95 or $52,553 annualized
- Opportunity to work remotely up to 60% of scheduled hours;
- 11 statutory holidays are observed, with public holiday pay;

Minimum Requirements for this position include:
- Proven successful Community College diploma in office administration or human resources or an equivalent knowledge and experience as deemed acceptable by employer
- Minimum of 1-year full-time experience in an administrative assistant position in a social/human services environment, previous work experience in a People and Culture/Human Resources department will be considered an asset
- Excellent written and verbal communications skills, interpersonal, organizational
- Ability to maintain confidentiality of privileged information
- Good working knowledge of Microsoft Office products, specifically, Word, Excel, Power Point and an applicant tracking system
- Current valid driver's licence and own reliable transportation to be used in the course of employment
Special factors of this position:

- Ability to deal with conflict using tact, patience, and courtesy.
- Ability to analyse procedural and system problems and make effective recommendations.
Duties and Responsibilities (including, but not limited to):
- Assisting and answering questions and inquiries as reception for the People and Culture Office, in person and over the telephone or through email.
- Providing administrative support which includes processing correspondence and information for the department
- Assisting in setting up various meetings, such as grievance, discipline and review meetings with employees, Supervisors, Managers and Union stewards, updating grievance reports, ensuring discipline is documented on HRIS and filing documents electronically and in appropriate files
- Ensuring all position descriptions are filed in hard copy once approved by CEO and index is kept up to date, ensures soft copies are filled in appropriate folders on the shared drive and old positions descriptions are archived
- Providing administrative support and maintaining records for staff training, performance management, succession planning and health and safety initiatives
- Supporting the staff training and development function, including preparing the training calendar bi annually in consultation with the People and Culture Manager, assisting training instructors in scheduling internal training dates and maintaining the staff training calendar on SharePoint
- Providing information to Managers, Supervisors regarding training taken by their employees and producing reports as required ensuring mandatory certifications are kept current and all mandatory training has been completed as per the Standards of Practice
- Processing requests for staff training, payment of external courses, arranging transportation and hotel accommodations as required and providing confirmation of all training as per guidelines
- As required, entering staff training into the Scheduling system, ensuring entries are made prior to final post for those unionized staff whose schedule is posted on a monthly basis
- Receiving workplace injury reports and corrective action reports, reviews for completeness advising People and Culture Manager if information is missing, preparing workplace accident reports for submission to WSIB within timelines and ensuring tracking information is updated as per processes
- Providing support to the Health and Safety function, filing Health and Safety documentation such as WICs and Risk Assessments
- If selected as a member of the Joint Occupational Health and Safety Committee, will receive, and maintain current Health and Safety Certification by taking and distributing minutes of meetings, etc.
- Receiving and secure storing of service awards, advising appropriate Managers as awards are received and that awards are picked up in a timely manner
- Ensuring Service Award invoices are processed and paid within the 30 days prepares the annual purchase order for service awards before the end of the calendar year, is approved and sent to Finance
- Tracking of Orientation and performance management reports for staff including updating the HRIS system once received and filing in employee file, provide information to People and Culture Manager for overdue reports
- Setting up and maintaining files for the department and ensuring timely filing of all documentation in the employee files
- Aiding and required reports during Ministry Compliance Reviews and Ministry of Labour Inspections
