We are looking for a highly organized, detail-oriented, and proactive individual to join our fast-paced eye care clinic as an Administrative Technician. If you love variety, excel at juggling tasks, and take pride in keeping things running smoothly behind the scenes, this role is for you.

Key Responsibilities Include: Administrative & Clerical Support

  • Managing cataract admin duties, including chart preparation and slating
  • Processing outpatient referrals and requisitions
  • Handling MOA coverage and supporting day-to-day front desk needs
  • Patient check in/ phone coverage/ reminder calls
  • Uploading, editing, and maintaining forms in Accuro EMR
  • Processing legal and doctor record requests
  • Managing invoices, refunds, and terminal updates (Surrey location)

Data & Reporting

  • Maintaining and updating key spreadsheets:
    • Weekly Barometer and Project Tracking
    • Cataract Tracking, Monthly Sx Reports, and KPIs (Abby + CGH)
    • ARH slating and GC synopsis documentation
  • Tracking and sending monthly KPI summaries
  • Updating the KPI whiteboard

Special Projects & Reminders

  • Sending reminders for dress-up days, events, and staff milestones
  • Organizing rep luncheons and educational food orders
  • Coordinating and ordering reward snacks and recognition certificates
  • Running errands as needed for smooth clinic operations
  • Updating the staff board in the storage closet

Clinic Support Tasks

  • Preparing charts for work-ups and managing Auto/FDT slip scanning
  • Supporting telehealth paperwork (CGH) and laser paperwork (GC)
  • Sending LVC pre-op emails to patients
  • Assisting with on-call emergencies and one-off admin requests

Team Integration

  • Supporting new staff onboarding tasks
  • Tracking and preparing certificates for staff birthdays and anniversaries
  • Being a dependable, friendly go-to person for ad hoc needs

What Were Looking For:

  • Strong multi-tasker with excellent time management
  • Familiarity with Accuro EMR (preferred, but not required)
  • Excellent written and verbal communication skills
  • A positive attitude and willingness to take initiative
  • A detail-oriented individual who can work independently and as part of a team

Schedule: Full-time, Monday to Friday
Compensation: $19-$22, depending on experience
Start Date: June 2025
