Legal Assistant – Employment & Civil Litigation
Location: Downtown Toronto
Hours: Full-time, 40 hours/week | 9:00 AM – 5:30 PM
Work Model: Hybrid – 4 days in office, 1 day remote
We are currently recruiting on behalf of a reputable employment law firm located in downtown Toronto. The firm is seeking a Legal Assistant with a minimum of five years of experience in civil litigation and employment/labour law. Key Responsibilities
- Provide executive-level administrative support to lawyers and enhance office effectiveness
- Prepare/transcribe, edit, format, and revise correspondence, memoranda, reports, litigation documents, forms, and other documentation
- Proofread documents/correspondence, check for appropriate formatting, spelling, grammar, etc.
- Answer and direct phone calls
- Assist lawyers in the preparation and coordination of hearings and trials
- Record and monitor court appearance dates, pleadings and filing requirements
- Coordinate service and filing of proceedings with agencies and courts
- Schedule and coordinate discoveries, expert witnesses, mediations, or other court-designated hearing
- Monitor and follow-up with evidence gathering
- Maintain an in-depth knowledge of legal terminology, court rules and procedures, as well as labour and employment terminology, where applicable
- Enter dockets; liaise with the Accounting department
- Prepare and submit expense reports for lawyers
- Maintain lawyers' contact lists
Qualifications
- Minimum 5 years of legal assistant experience in employment and civil litigation
- Diploma in Legal Assistant or Law Clerk program
- Deep understanding of Ontario's Rules of Civil Procedure
- Strong organizational, proofreading, and multitasking skills
- High attention to detail and excellent time management
- Proficiency in MS Office, Outlook, and GhostPractice
- Experience with Philips SpeechExec dictation is an asset
- Familiarity with CaseLines and One-Key for e-filing
- Professional, proactive, and able to work independently
