Legal Assistant – Employment & Civil Litigation

Location: Downtown Toronto

Hours: Full-time, 40 hours/week | 9:00 AM – 5:30 PM

Work Model: Hybrid – 4 days in office, 1 day remote

We are currently recruiting on behalf of a reputable employment law firm located in downtown Toronto. The firm is seeking a Legal Assistant with a minimum of five years of experience in civil litigation and employment/labour law. Must-Haves

Key Responsibilities

  • Provide executive-level administrative support to lawyers and enhance office effectiveness
  • Prepare/transcribe, edit, format, and revise correspondence, memoranda, reports, litigation documents, forms, and other documentation
  • Proofread documents/correspondence, check for appropriate formatting, spelling, grammar, etc.
  • Answer and direct phone calls
  • Assist lawyers in the preparation and coordination of hearings and trials
  • Record and monitor court appearance dates, pleadings and filing requirements
  • Coordinate service and filing of proceedings with agencies and courts
  • Schedule and coordinate discoveries, expert witnesses, mediations, or other court-designated hearing
  • Monitor and follow-up with evidence gathering
  • Maintain an in-depth knowledge of legal terminology, court rules and procedures, as well as labour and employment terminology, where applicable
  • Enter dockets; liaise with the Accounting department
  • Prepare and submit expense reports for lawyers
  • Maintain lawyers' contact lists

Qualifications

  • Minimum 5 years of legal assistant experience in employment and civil litigation
  • Diploma in Legal Assistant or Law Clerk program
  • Deep understanding of Ontario's Rules of Civil Procedure
  • Strong organizational, proofreading, and multitasking skills
  • High attention to detail and excellent time management
  • Proficiency in MS Office, Outlook, and GhostPractice
  • Experience with Philips SpeechExec dictation is an asset
  • Familiarity with CaseLines and One-Key for e-filing
  • Professional, proactive, and able to work independently
