They are looking for a highly organized, proactive Executive Assistant to provide dedicated support to their Chief People Officer (CPO) and General Counsel. In this role, the successful candidate will manage a wide range of executive-level administrative tasks, help drive efficiency, and act as a trusted liaison across teams and departments.
This is a fast-paced, high-responsibility role that requires exceptional discretion, attention to detail, and the ability to manage shifting priorities with grace and professionalism.
Key Responsibilities:
- Provide high-level administrative support to the CPO and General Counsel, including managing calendars, scheduling meetings, preparing correspondence, and organizing complex travel arrangements, itineraries and agendas; expense reporting and reconciliation and compiling documents for meetings.
- Anticipate needs, track deadlines, and ensure executives are prepared for upcoming commitments.
- Coordinate the preparation of confidential documents, reports, and presentations.
- Serve as a point of contact between the executives and both internal and external stakeholders.
- Research and manage sensitive issues with discretion and sound judgment.
- Support department-wide scheduling and travel logistics for People & Culture and Legal teams.
- Plan and execute special projects and events, including staff meetings, recognition programs, and milestone celebrations.
- Maintain a system for tracking priorities and following up on action items.
- Record and distribute detailed meeting minutes when required.
- Assist with personal administrative tasks as requested.
What You Bring To The Role
- Bachelor's degree in Business Administration or a related field (preferred).
- Minimum of 5+ years of experience supporting C-suite executives.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and Concur.
- Excellent written and verbal communication skills, with a strong sense of professionalism and emotional intelligence.
- Exceptional attention to detail and organizational skills, with the ability to manage multiple priorities.
- Proven ability to work with confidential information and manage sensitive matters with discretion.
- Self-starter and team player with strong problem-solving skills and the ability to work independently.
- Skilled at building strong working relationships with team members and external partners.
- Comfortable in a fast-moving, evolving environment with frequent changes and shifting demands.
