Summary of Roles and Responsibilities
A Service Coordinator for ONSITE Sign would primarily be responsible for managing customer inquiries, scheduling maintenance and repairs, and ensuring the timely and efficient delivery of sign services. They would act as a point of contact for clients, handle communication regarding service requests, and coordinate with field technicians and suppliers. This position typically follows an 8:00 AM to 5:00 PM, Monday through Friday schedule; however, overtime and on-call duties may be required when crews are on site. The coordinator must be readily available to address any questions or issues that arise.
This is a maternity leave coverage position with an anticipated term of 20 months. The role will be reviewed at the end of the term and may transition into a full-time opportunity.
Core Responsibilities- Manage incoming service orders and assess scope, pricing, materials, personnel, and scheduling needs.
- Coordinate equipment, materials, and municipal permits as needed.
- Maintain communication with clients, providing updates, confirmations, and addressing changes or issues.
- Support field technicians with real-time troubleshooting and ensure efficient job site execution.
- Generate detailed post-service reports including photos and technician data.
- Identify potential upsell opportunities while on-site.
- Organize and label project files for clarity and client reference.
- Update project status in accounting and scheduling systems; assist with invoicing prep.
- Ensure documentation is complete for project close-out and future reference.
- Attend weekly installation and procedural meetings to stay aligned on processes and resource planning.
- Maintain accurate, accessible records for internal use and management review.
- Deliver consistent, organized service execution.
- Maximize efficiency and minimize return trips.
- Build strong client trust through clear communication and documentation.
- Support seamless handoffs between team members for ongoing or future work.
Qualifications
Knowledge of Quickbooks- Microsoft 365
- Must have VALID Class 5 DL & own transportation
- Experience in a Service Coordinator position would be an asset but willing to train the right individual.
Wage
- $25-30 based on experience
