We are currently seeking an Administrative Assistant to join our small, but growing team. You'll be working independently or in a small team of 3 people, so if you're someone who is accountable, reliable, detail-oriented, passionate, and talented, then we have an opportunity for you.

As an Administrative Assistant, you work a wide range of tasks to support your colleagues and the growth of the business in various areas ranging from marketing, finance, and sales to ensure seamless operations. Your experience and skills will allow you to serve as a liaison between departments, teams, and stakeholders ensuring seamless communication and collaboration, and maintain internal controls, financial records, and other specialized documentation.

This is a permanent, full-time position.

Responsibilities

  • Develop a deep understanding of our business, customers, and sales process while providing full administrative assistance to drive efficiency and customer satisfaction
  • Be responsible for accounting clerk duties including but not limited to A/R & A/P duties, entering and verifying orders, billing and invoicing, processing payments, preparing and generating reports, processing billing credits and corrections, collections, and various month-end accounting reconciliation duties
  • Work with colleagues and external parties to design and develop marketing materials
  • Plan and attend trade shows as required
  • Maintain paper and electronic filing systems, including filing of confidential information
  • Respond to and facilitate resolutions to urgent situations
  • Respond to customer inquiries promptly
  • Provide administrative support, such as scheduling and planning meetings and events
  • Responsible for dissemination of highly confidential correspondence and communications
  • Collaborate with team members to streamline office processes and improve efficiency
  • Provide general clerical support including data entry, mail handling, and office supply management
  • Perform cross functional and other duties as assigned and/or requested

Skills and Requirements

  • Previous administrative and/or accounting clerk experience
  • High school diploma or equivalent
  • Excellent English communication skills, both verbal and written
  • Intermediate to advanced knowledge of Microsoft applications (Excel, Word, Outlook, PowerPoint)
  • Comfortable making and receiving phone calls
  • Strong typing and data entry skills
  • Ability to deal effectively, efficiently, and courteously with colleagues, customers and general public
  • Ability to succeed in a rapidly changing environment where tasks, priorities and goals are ever-changing
  • Exceptional organizational skills, attention to detail, and the ability to multi-task
  • A positive can-do attitude that enables you to deal with challenging situations with honesty, integrity, and sincerity
  • Ability to work independently with minimum supervision as well as part of a team in a fast-paced environment.

Good to have:

  • Second language
  • Photo editing and graphic design skills
