Real Estate Assistant
Location: Ottawa, Ontario
Type: Full-Time / Part-Time

This role is crucial in supporting the Principal Broker, the brokerage, and property management operations. Key Responsibilities:

  • Manage daily office operations and administrative tasks efficiently.

  • Perform data entry for property listings, client information, and transaction records with precision.

  • Organize and maintain both physical and electronic files for quick and easy access.

  • Answer phone calls and respond to inquiries with professionalism and courtesy.

  • Schedule appointments, coordinate meetings, and manage calendars for real estate agents and the Principal Broker.

  • Assist in preparing marketing materials and updating social media for property listings.

  • Support clients with information about properties and the services offered by the agency.

  • Collaborate with team members to ensure timely completion of property transactions.

  • Assist with property management tasks, including maintenance requests and dispatching.

  • Input and coordinate listings with clients and marketing materials.

  • Manage bill payments and collections.

  • Handle On-Call Duties for after-hours support for our sister companies.

  • Provide direct support to the Principal Broker, ensuring smooth day-to-day operations.

Qualifications:

  • Previous experience in a clerical, bookkeeping, or administrative role is preferred.

  • Familiarity with real estate processes is an asset but not required.

  • Proficiency in computer applications, including Microsoft Word, Excel, and CRM software.

  • Strong data entry skills with a keen eye for detail.

  • Excellent phone etiquette and communication skills, both written and verbal.

  • Ability to manage multiple tasks efficiently while maintaining a high level of organization.

  • Experience in a dental office or as a dental receptionist is beneficial but not mandatory.

  • College or University education is considered an asset but not required.

  • Valid driver's license and access to a personal vehicle are required.

  • Driving to various property locations may be necessary—mileage compensated.

Working Hours & Flexibility:

  • Consistent weekly schedule with some out-of-schedule work as needed to support property viewings, events, or urgent matters.

  • Flexibility for occasional evening or weekend work is required.
