Reception House is a non-profit, community-based organization that delivers quality settlement, integration and support services to newcomers in Waterloo Region. Since 1987, Reception House has assisted thousands of refugees rebuild their lives in Canada through specialized programs and services designed to help them become established in their new communities.

We currently have an exciting opportunity for a permanent full time Fundraising and Communications Coordinator on our Fundraising and Communications team. The Fundraising and Communications Coordinator plays a critical role in enhancing Reception House Waterloo Regions fundraising, communication, and donor engagement efforts. This role develops and implements strategies to engage stakeholders, promote the organization's mission, and secure resources to support programs.

They will manage donor relations and foster strong relationships on behalf of Reception House, as well as create compelling content for our website, social media and other publications. The Fundraising and Communications Coordinator is pivotal in cultivating and nurturing meaningful relationships with donors and key stakeholders. This role is dedicated to engaging supporters through in-person connections, personalized communication, impactful storytelling, and strategic stewardship initiatives, ensuring they feel valued, connected to our mission and understand the impact of their contributions of time or financial resources.

What youll do:

  • Work with the Director, Strategic Partnerships to identify, cultivate, and engage prospective donors.
  • Proactively research and identify potential individual, corporate, and institutional donors whose values align with Reception Houses mission and vision.
  • Develop and implement tailored engagement strategies to build authentic relationships, inspire support, and convert prospects into long-term, committed donors.
  • Together with other team members, regularly communicate with donors, and staff through various channels, such as newsletters, emails, and social media, sharing updates, success stories, and upcoming events.
  • Ensure appropriate photographic documentation occurs at events, meetings and other necessary gatherings.
  • Work with HR to coordinate the necessary number of volunteers to help with events, and support HR in organizing volunteer appreciation events.
  • Manage all Reception House social media accounts and communication materials, with support from team.
  • Plan and execute appreciation events for donor recognition and other activities to engage stakeholders, including event logistics, promotions and follow-up communications.
  • Utilize storytelling, data-driven insights, and personalized outreach to connect new supporters with the impact of their contributions.
  • Create compelling reports to demonstrate fundraising activities, outcomes, organizational achievements and insights, and recommend improvements.
  • Support and maintain accurate and up-to-date records, ensuring that all interactions and communications are properly tracked and documented.
  • Work with leadership to implement surveys and feedback mechanisms to gather insights from stakeholders, using the information to continuously improve our stewardship strategies.
  • Collaborate with the Director to organize Reception House presence and participation in meetings and events organized by community stakeholders to build relationships and partnerships.
  • Stay informed about best practices and trends in fundraising, donor engagement, applying innovative ideas to enhance our approaches.
  • Other appropriate duties as needed.

What youll need:

  • Completion of an accredited post-secondary degree or diploma program in social science, liberal arts, communications, business administration, nonprofit management, or a related field is required.
  • Previous experience in fundraising, stakeholder engagement, donor relations, event planning and volunteer management within a non-profit organization is ideal.
  • Demonstratable experience presenting in front of others and public speaking.
  • Strong understanding of fundraising strategies and best practices preferred;
  • Demonstrated comfort and professionalism in approaching individuals, businesses, and organizations with whom there is no prior connection, both in-person and through various communication channels.
  • Proficiency in database management and Microsoft Office Suite (prior experience with Donor Perfect, Canada Helps, Benevity, etc. is ideal);
  • Flexible and adaptable to navigate changing priorities and organizational needs.
  • Collaborative team player, with the ability to work independently and cooperatively with donors, diverse stakeholders and staff.
  • Uphold ethical fundraising practices and maintain donor confidentiality.
  • Commitment and adherence to confidentiality and ethical standards in handling donor data.
  • Excellent communication skills, both written and verbal
  • Strong analytical and problem-solving skills
  • Strong interpersonal skills and the ability to build and maintain relationships
  • Highly organized and detail-oriented, with the ability to manage multiple priorities and deadlines
  • Excellent resourcefulness and organization skills
  • Ability to work both independently and collaboratively as a member of a larger team

Working conditions:

  • A valid drivers license and access to a car is required.
  • Travel within Waterloo Region needed to attend and prepare for off-site events and meetings.
  • Heightened risk of exposure to communicable diseases, vicarious trauma and high-stress environment.
  • Must be able to move freely throughout buildings and travel within community with reasonable accommodations as required.
  • Extended periods of time spent sitting, working on computer using mouse and keyboard.
