The Office Manager plays a vital role in implementing and upholding policies, procedures, and processes aimed at optimizing the experience of all clinic patients and visitors. Serving as a culture leader within the clinic team, they exemplify refined relationship-building skills, respect, and strong interpersonal communication. Moreover, the Office Manager ensures compliance with clinic regulations while maintaining effective operations through efficient scheduling and robust inventory management practices. They actively contribute to the ongoing strategic direction of Satori by providing regular metrics and insightful reporting on all clinic operations, including but not limited to patient satisfaction scores, appointment wait times, and inventory turnover rates. By aligning closely with Satori's values, the Office Manager fosters an environment conducive to growth and success, engaging with stakeholders across the board to uphold the clinic's standards of excellence.

Responsibilities

Leadership

Develop and support a high performing team

Implement and monitor office policies by establishing location-specific standards and procedures; measuring results against standards; making necessary adjustments.

Commitment to building the company and brand

Foster positive relationships with medical providers and allied health professionals

Point of contact for client satisfaction or concerns

Patient Care

Ensure provision of exceptional client care

Greet and direct patients to appropriate medical resources

Time sensitive support of provider requests

Manage and update patient files

Point of contact for client satisfaction or concerns

Administration

Policy and procedure management: determine location-specific policy updates and new policies or procedures needed and coach team on implementation

Assist senior management with planning and/or regulatory compliance

Manage clinic HR needs; recruit, train, develop and provide performance management and evaluations for team members

Ensure PIA, HIA, CPSA and other regulatory compliance

Keep informed of new clinic and healthcare regulations

Maintain office efficiency through highly organized operations and procedures, reviewing and submitting supply requisitions and equipment procurement

Manage internal and external communications, answering questions about the clinic

Oversee daily clinic operations including billing, A/R, EMR oversight and inventory.

Requirements

Minimum 3 years experience in a healthcare setting, ideally in family practice or primary care

Minimum 3 years experience in a medical office assistant or medical office support staff role

1-3 years experience in a supervisory, team lead or manager position

Experience in a physician liaison role would be an asset

Qualifications

Polished and professional communication skills

Excellent planning and prioritizing

High degree of accuracy and attention to detail

Strong skills in collaborating with team members and Practitioners

Drive to provide an exceptional patient first experience

Interest in collaborative care practice
