Schedule: 40 Hours per week. Monday to Thursday (Alternating Friday off schedule)

Role Summary:
The Project Controls Coordinator will support all aspects of commercial management from contract formation through administration and renewal while maintaining positive and effective relationships with customers, partners and the C&E team to ensure timely and accurate management of contracts.
Working in conjunction with experienced Executive Directors, SMT members and line management the Project Controls Coordinator will play a vital role in supporting Operational Directors and/or Site Managers with matters related to contract interpretation and optimization in the first instance, ensuring timely support to the C&E team and to Site Managers alike. Further, the Project Controls Coordinator will support the smooth handover of the awarded contract to Operations & Technical Services (OTS) for execution. This will be primarily accomplished through internal and external kick-off meetings.
Primary Responsibilities:
- Responsible with Project Controls of a Project, with Daily Reports with Costs relating Labour, Equipment, Materials in conjunction with Site Managers.
- Support the Finance team with Actual finances for reporting purposes.
- Provide a Power BI format to Commercial Manager, to help analyze/measure Contracts and/or Projects success.
- Spearhead Contract Administration best practices, including the creation and maintenance of contract/commercial repository.
- Provide Change Management (Contemplated Change Orders-CCO and/or Change Orders-CO) with Projects/Contracts immediately when they arise, and prior to work proceeding.
- Collaborate with the Executive Director, Strategic Growth & Commercial to quantify contract changes and leverage growth on current contracts, utilizing best practices and identifying commercial model options whether T&M, lump sum, GMP, unit price, force account, and/or cost plus.
- Support the Executive Director, Strategic Growth & Commercial and/or Commercial Manager on bidding and proposal management aspects of timely and accurate proposal delivery.
- Hold a Weekly review meetings of proposals, inclusive of Go-No-Go procedure to ensure all Business Units participate and provide input, prior to proceeding.
- Collect and collate appropriate input from OTS personnel to improve contract management and bidding practices as applicable.
- Identify potential opportunities and risks, and proposed solutions to improve contract formation and administration. Identify any Contracts with Legal and Financial Risks, to be brought to Commercial Manager for Legal and Financial assistance.
- Identify any Dispute Resolutions as they arise immediately, to the Commercial Manager and Executive Director, Strategic Growth & Commercial.
- Proactively conduct periodic site visits to support cohesion, alignment, and engagement with Site Management.
- Conduct contract audits, pulse checks and engagement surveys at the direction of the Executive Director, Strategic Growth & Commercial and/or Commercial Manager.
- Timely identify opportunities for rate escalations, contract entitlements and/or rate renewals.
- Maintain up-to-date knowledge regarding commercial models and prevailing contract law.
- Own and deliver commercial documentation timely and accurately.
- Promote a culture of robust document trails and evidentiary fact-based back-up for all contract changes.
- Develop contract deliverables checklist for roll-out to Site Teams to assist in contract hand-over and transition to OTS.
- Manage own workload to ensure all contract production materials are completed by specified deadlines.
- Work with Executive Director, Strategic Growth & Commercial and/or Commercial Manager to manage the full gambit of contract management from formation to administration through contract renewal.
- Utilize the rates library in support of unit cost philosophy in estimating change orders, while gaining an appropriate knowledge of estimating norms.
- Support the development and implementation of Commercial Process Framework across the Company.
- Organize and chair team reviews and conference calls as required to meet contract critical path timelines and milestones. Chase and co-ordinate information.
- Promote a continuous feedback improvement focus, highlighting key documents and or text
Education & Experience:
- Diploma or Degree in Business, Finance, Commerce, Engineering, or related discipline.
- 5 years of experience in a related field with an emphasis on operational or commercial delivery, marketing & proposal development. Civil construction or Facility Maintenance industry background.
- MBA, Accounting and/or Law designation, PMP designation would be an asset.
- Proven skill / experience in some form of document management / ownership, ideally contract management.
- Experience working with both internal and external client groups.
- Strong project coordination / management skills.
- Strong business and technical writing / editorial skills required.
- Intermediate to advanced knowledge of the Microsoft Office.
- Strong communication skills with internal and external sources, both written and oral.
- Ability to meet strict deadlines under pressure and organize multiple tasks.
- Ability to read, write and comprehend the English language with a high level of proficiency.
- Valid Driver's License.
