Job Title: Administrative Assistant

Department: Window Sales and Service

Location: Port Carling, Ontario

Muskoka Lumber has lumber yards in Huntsville, Bracebridge, Bala and Port Carling providing a wide array of building products including flooring, wallboard, trim and customs timbers manufactured on site in our custom mills. In addition, we have a finishing shop for custom finishes and window sales and service shop. We are looking for an energetic individual to fulfill the role of Assistant Administrator to work with our window sales and installation team management. Wed love to hear from you if youre organized, proactive and ready to grow with us.

Job Responsibilities:

Answer the telephone, direct calls and take messages.

Write up reports and correspondence as dictated by the management team.

Assist creation of new documents and standard forms.

File expense reports for managers and supervisors.

Assist with solving vendor issues regarding shipments, billing and back orders.

Attend sales meetings and write notes, if requested.

Assist in getting sales order sign offs from customers.

Preparing and sending welcome package email for each order after final confirmation.

Assist in auditing invoices for accuracy.

Assist with customer enquiries.

Assist in writing up sales orders and issuing POs in POS system as directed.

Entry of new customers and orders in CRM software.

Arrange and follow up on customer deposits and payments.

Performs other duties as assigned by the management team.

Qualifications:

Proficiency in Microsoft Office Site (Word, Excel, PowerPoint and Outlook)

Excellent organizational and time management skills

Strong communication and interpersonal skills

Ability to work independently and as part of a team.

Company Hours of Operation: 7:30 to 5:00, Monday to Friday
