ABOUT THE ROLE

We are seeking an enthusiastic and conscientious People Operations Coordinator to join the Vivid team for a full-time opportunity, starting in June 2025. Located in downtown Victoria, this role will require an in-office presence to support our operations, manage our facilities and help create a welcoming and inclusive environment through People Operations initiatives. As the People Operations Coordinator, you will be an integral part of Vivid Solutions, fostering a positive, engaging and inclusive work environment. You will bring a strong people-centric focus to your role, directly impacting employee satisfaction and team culture. In this role, you will support office operations and play a key part in People Operations (HR) initiatives, ensuring that our team members have a seamless experience throughout their time with the company. Whether you are organizing employee engagement activities, supporting the recruitment process, or ensuring the smooth onboarding and offboarding of team members, you will help create an environment where people feel valued, supported and connected.

You will be the first point of contact for visitors and clients as they arrive at the office, and look after our office space (meeting rooms, common areas, kitchen, etc.) so that they are functional, comfortable and conducive to happy and productive work. You will also receive direction from the COO on other administrative initiatives.

KEY RESPONSIBILITIES

  • Employee Experience: Serve as a key point of contact for employees, offering support and guidance in navigating their daily needs and ensuring their workplace experience is positive and fulfilling.
  • Onboarding & Offboarding: Oversee a smooth onboarding process for new hires and manage offboarding processes for departing employees, ensuring a welcoming and thoughtful experience at every stage.
  • Employee Engagement: Assist with the development and execution of employee recognition programs, engagement activities and regular touchpoints to ensure team members feel supported and appreciated.
  • Performance & Development: Collaborate with Senior Management to support regular performance reviews, pulse checks and ongoing professional development initiatives.
  • Recruitment Support: Partner with hiring managers and recruitment partners to assist with the talent acquisition process and ensure a seamless hiring experience.
  • Policy & Procedure Updates: Work with the executive team to ensure company policies are up to date and align with best practices for people operations and workplace culture.
  • People Operations Administration: Provide support for all administrative tasks related to people operations, including employee benefits management, HRIS maintenance ( Bamboo HR) and documentation.
  • Event Planning: Assist in planning and organizing employee events, both virtual and in-person, that promote team building and a positive company culture.
  • Facilities Management: Oversee the office space, ensuring it is well-maintained, functional, and conducive to a collaborative and productive work environment.
  • General Administration: Manage office supplies, assist with general bookkeeping and handle invoices in coordination with Senior Management.
  • Cross-functional Support: Take on additional administrative responsibilities as needed to support the companys mission and vision.

QUALIFICATIONS

  • 3+ years of experience in office administration, people operations, or facilities management within a fast-paced environment.
  • Demonstrated experience supporting people-focused initiatives, such as onboarding, employee recognition and performance management.
  • Strong organizational skills, with a keen eye for detail, and the ability to handle multiple tasks simultaneously while maintaining a high level of presentation and accuracy.
  • Excellent communication skills with a service-oriented approach and a strong sense of discretion and confidentiality.
  • Resourceful and proactive, with strong critical thinking skills to troubleshoot issues, streamline processes, and keep operations running smoothly.
  • Familiarity with HR software (e.g., BambooHR) and productivity tools like MS Office, JIRA/Confluence, Slack and MS Teams is an asset.
  • Ability to work collaboratively and creatively with diverse teams and adapt to changing needs in a dynamic environment.
