The Opportunity:
The People & Culture Coordinator plays a key role in supporting P&C operations by managing employee data, coordinating onboarding and offboarding processes, and facilitating general employee relations. This role serves as a liaison between various departments, ensuring policies and procedures are followed for employee changes. Responsibilities include responding to HR inquiries, maintaining records, assisting with compensation-related processes, and supporting internal reporting needs. Additionally, the coordinator contributes to program management, including bonus validation and policy updates.
Reporting directly to the P&C Manager, this position is responsible for compiling and delivering accurate reports on employee status, terminations, leaves, and other critical data points. The coordinator ensures data integrity across HR systems and provides insightful reporting to support strategic decisions. This position requires strong attention to detail, organizational skills, and the ability to collaborate effectively across multiple teams to uphold compliance and best practices within the organization.
Responsibilities:
Coordination- Respond to internal and external P&C related inquiries or requests and provide assistance; Service Canada requests validating termination information, general policy and Parkland guideline questions
- Liaise with other departments or functions (Payroll, Benefits, Compensation, Talent, OE, Communications etc.) to ensure policies and procedures are adhered to for changes in employees
- Complete PSCFs for all employee terminations, resignations, promotions, demotions, contract changes and leaves of absence, obtaining correct approvals from P&C Business Partners and supervisors to comply with policy
- Work with the People & Culture Managers and P&C Business Partners in areas of general employee relations
- Develop internal letters (offers, job changes, add pays, retentions) as needed / requested by P&C Business Partners and P&C Managers
- Create Averaging Agreements
- Maintain monthly ‘Term / Leave Tracker' date update to Business Partners for Canada Operations and Corporate
- UKG Data Management (Headcount report clean up) for Commercial, Retail and Supply/Trading bi-weekly.
- Provide reporting requests as they arise for several Managers and EAs (i.e. vacation / service awards / Ivalua etc.)
- Upload all misc. employee data into UKG for employee files to ensure employee files are up to date
- Work with P&C Corporate to update any policies, practices and procedures as it pertains to the operations.
- Assist in ad-hoc P&C projects and other duties as required by the P&C team
- Support the recruitment / hiring process by completing UKG preboarding requirements of all Commercial, Retail and Supply and Trading
- Coordinate any onboarding training provided by COE's for new hires, new leaders
- Coordinate exit interviews for voluntary exits and provide insight back to the Business Partners
- Execute Safety Performance Incentive (SPI) quarterly bonus program, working with business partners and supervisors to complete correct employee scorecard results and Directors on payout approvals; Ensure accuracy and consistency of details and once proper approvals obtained work with payroll for final payout to employees
Requirements:
- Post-Secondary Education in Business Administration and/or Human Resource Diploma (an asset)
- 5 years' experience in an administrative role
- Human Resource knowledge and experience an asset
- Comfortable collaborating with a remote leader and working in virtual environments
- Shows initiative with the ability to work alone as well as part of a team
- Above average communication skills (verbal and written) as it relates to customer service and employee relations
- Must be able to handle confidential matters in a professional manner
- Excellent organizational skills and ability to handle multiple projects in a concurrent manner
- Strong abilities with MS Office, specifically Excel
- UKG knowledge an asset
- Knowledge of the Employment Standards Act is considered as asset
