About the Role

Work in collaboration with Legal, Finance, and IT teams to support Payroll and Human Resources functions. Serve as the primary contact for benefit providers on routine matters, while overseeing day-to-day payroll, benefits, and HR tasks including payroll processing, benefits administration, onboarding/offboarding, and PTO tracking.

Responsibilities

  • Prepare, review, and process semi-monthly payroll accurately and on time;
  • Investigate and resolve payroll and time & attendance discrepancies and inquiries;
  • Ensure timely and accurate completion of year-end payroll activities, including reconciliation and coordination with payroll provider;
  • Prepare and file year-end tax forms and government remittances (e.g., T4s, T2200);
  • Maintain compliance with federal and provincial payroll regulations;
  • Stay current on changes in payroll legislation and best practices;
  • Administer and maintain employee benefits programs, including enrollments, changes, and terminations;
  • Maintain accurate employee records within HRIS and payroll systems;
  • Discover and implement new features or process improvements to enhance efficiency;
  • Support onboarding/offboarding processes, including documentation, system access setup, and orientation coordination;
  • Maintain strict confidentiality of employee data and sensitive HR information;
  • Prepare reports and assist with internal and external audits and government filings;
  • Ensure all processes are aligned with employment laws and organizational policies;
  • Contribute to broader HR initiatives such as drafting job descriptions, posting positions, performance management, employee engagement, and policy development or updates;
  • Assist with recruitment;
  • Collaborate with HR and cross-functional teams to support the employee lifecycle and improve overall HR operations; and
  • Respond to employee inquiries regarding payroll, benefits, and HR policies.

Experience

  • Experience in payroll and HR administration, preferably in a multi-provincial Canadian environment, experience with US payroll an asset;
  • Familiarity with payroll and HR year-end processes, including tax reporting and compliance activities;
  • Experience administering employee benefit plans (e.g., medical/dental, life insurance, RRSPs);
  • Strong knowledge of Canadian payroll legislation and employment standards;
  • Proficiency in HRIS and payroll systems (experience with BambooHR, ADP, or Ceridian is an asset);
  • Experience coordinating and supporting performance and compensation review processes;
  • Experience with drafting job descriptions/postings and assisting with recruitment;
  • Proven organizational and time management skills, with the ability to handle multiple tasks and meet deadlines; and
  • Demonstrated ability to manage onboarding and offboarding activities effectively.

  • Ability to manage sensitive and confidential information with discretion and professionalism;
  • Effective interpersonal and communication skills with the ability to respond effectively to employee inquiries;
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook); and
  • Strong written and verbal communication skills in English; French language skills are an asset.

Job Requirements

  • Post-Secondary Degree/Diploma in Payroll/Human Resource or Business Administration or equivalent work experience;
  • Having or working towards a Payroll/HR Designation is an asset;
  • Experience with ADP and BambooHR or similar platforms is an asset; and
  • 1-2 years experience in Payroll and Human Resources.

Work location

  • This position is primarily remote within Canada; however, the successful candidate must be able to travel for in-person meetings or team events as required. Proximity to our Kanata (Ottawa) office is beneficial but not required.
