Technology & CRM Systems Coordinator
Overview:
A small, fast-growing construction company serving government and municipal clients is seeking a detail-driven systems builder to bring structure to internal operations. This role is ideal for someone who thrives on process clarity, cross-functional coordination, and clear communication.
As the Business Enablement & Systems Development Coordinator, you will own the development and maintenance of our internal infrastructurewhile also supporting business development tracking, digital content coordination, and basic data analysis. Your work will directly improve how our teams function, communicate, and grow.
What You'll Own
1. Systems Design & Operational Infrastructure (~5060%)
- Create and maintain internal SOPs, checklists, templates, and project trackers across admin, estimating, field, and BD workflows
- Build workflows for project setup, subcontractor compliance, change orders, and internal reporting
- Design and manage digital systems using SharePoint, Microsoft Teams, OneDrive, Excel, and related tools
- Support onboarding and internal training for new systems
- Maintain a structured, centralized how we work library to serve as a team reference hub
- Collaborate with internal staff responsible for accountability and process follow-up
2. Prospecting, Marketing & Public Presence Coordination (~2530%)
- Maintain and organize lead tracking systems, contact logs, and follow-up tools
- Support outreach coordination, light CRM upkeep, and proposal preparation workflows
- Draft and format capability statements, team bios, case studies, and short-form content
- Help manage the company's LinkedIn presence, coordinating scheduling and content updates
- Organize internal proposal content libraries and brand assets for efficient reuse
3. Light Data & Analytics Support (~1015%)
- Track and organize project cost data, labor logs, and subcontractor billing records
- Assist with monthly or quarterly reporting on operational metrics such as proposal activity, hit rates, or budget compliance
- Build and maintain simple dashboards and spreadsheets for executive visibility
- Support budget tracking and reconciliation workflows across project phases

Qualifications
Required:
- 3+ years in operations, project coordination, systems design, or enablement roles
- Experience creating SOPs, structured documentation, and team workflows
- Proficiency in the Microsoft 365 ecosystem (Teams, SharePoint, Excel, OneDrive, Word)
- Ability to create and maintain cost trackers, timecard summaries, or simple dashboards
- Fluent written English with a structured, professional communication style
Preferred:
- Familiarity with construction, project-based work, or government contracting
- Experience supporting CRM systems, digital outreach, or proposal content
- Exposure to marketing platforms such as LinkedIn, Canva, or business email tools
