Job Summary:
The Senior Office administrator is an operationally, all-encompassing role that includes all branch administrative requirements. Responsible for the day-to-day operations of the local office, supporting senior management, service managers, sales, project managers and all programs and teams, ensuring that the office runs smoothly. Possess a proven track record of being able to work independently as part of a larger team, a high degree of professionalism, are results and efficiency-driven and have strong analytical skills. As the leader of our Administrative Process and Team, this individual will have a good understanding of our business systems and processes to aid in developing continuous improvement initiatives. To be successful in this role, keen attention to detail, excellent written and verbal skills are critical.
Key Responsibilities:
- Provide administrative support to Service and New Construction Departments.
- Supports company operations by maintaining office systems and assisting the assigned team.
- Filing system management and improvement including management of contract set-up
- Manage Preventative Maintenance Contracts and coordinate with the Sales Team on new contracts and contract renewals.
- Responsible for Branch and corporate communications to Ottawa Branch personnel
- Keep management informed by reviewing and analyzing special reports; summarizing information; identifying trends
- Provide support for team through assisting with recruiting, selecting, orienting, and training administration staff
- Onboarding new hires
- Troubleshoot office systems and machines (photocopier, mailing system, etc.)
- Review stock and order office supplies as required monthly
- Data entry and clerical duties as required, including back-up for Billing and Service Coordination
- Coordinate with head office for the processing of Payroll
- Event planning and organization, catering and travel arrangements
- Assist with collections and posting of P-Card receipts.
- Assist with collections and posting of vendor invoices.
- Provide administrative support related to Ainsworth National Accounts.
- Provide administrative support associated with client billing & third-party
- Contributes to team effort by accomplishing related results as needed.
- Provide administrative support to local field staff.
- Back-up other Administrative Team members as required.
- Other general administrative duties as assigned.
Qualifications:
- College Diploma or certification or combination of relevant training courses
- Minimum 3 years' office administration experience
- Proficient computer skills, including knowledge of service management systems
- Skilled in the Microsoft Office suite of programs
- Must be well organized and able to work independently in multi-tasking work environment
- Proven ability to communicate effectively with a diverse group of internal and external individuals.
- Excellent written and verbal communication and the ability to document information and instructions
- Team Focus - Capable of building relationships at all levels within the organization
- Applicable Post Secondary Education would be considered as a positive
