Bilingual Administrative Assistant (Full time/Permanent)
As a Bilingual Administrative Assistant, you will be the friendly face and voice of our company, interacting with customers, providing solutions to their inquiries, and ensuring their needs are met. Key responsibilities:
- Act as the first point of contact for customers and assist in resolving their concerns, complaints, or requests, ensuring a positive resolution.
- Engage with customers through various channels (phone, email, etc.) to provide information, address inquiries, and resolve issues promptly and professionally.
- Generate and distribute invoices to customers accurately and in a timely manner.
- Receive and record payments from customers, ensuring payments are applied to the correct accounts.
- Regularly reconcile customer accounts to ensure they are up to date and accurate.
- Prepare and analyze accounts receivable aging reports to track outstanding payments and identify potential issues.
- Organize, maintain, and update physical and electronic files, ensuring easy retrieval of documents when needed.
- Accurately input and maintain data in various databases and spreadsheets, ensuring the integrity and confidentiality of information.
- Assist in the creation and formatting of documents, reports, and presentations.
- Gather and report customer feedback to help improve our services, and processes.
- Collaborate with colleagues to resolve customer issues and continuously improve customer service procedures.
- Other general office duties as required.
Qualifications:
- Minimum 1- 2 years proven experience in an office or clerical role.
- Previous experience in basic accounting functions is a plus.
- Excellent communication and interpersonal skills.
- Empathy and a customer-focused mindset.
- Strong organizational and time management skills.
- Professionalism and a customer-service-oriented attitude.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to communicate fluently in English and French.
