Are you passionate about real estate and thrive in a fast-paced, detail-oriented environment? We are seeking a dedicated individual to join our team as a Real Estate Administrative Assistant. In this role, you'll play a vital part in managing both buyer and seller transactions, ensuring smooth processes and exceptional customer service.

As a Real Estate Administrative Assistant, you'll be responsible for overseeing all administrative tasks related to real estate transactions, from contract execution to closing. You'll also manage MLS listings, and social media postings, and coordinate property showings and open houses. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively.

Compensation:

  • Salary Range: $40,000 - $48,000

Responsibilities:
  • Input client information into the database, track transaction activities, and submit necessary documents to ensure file compliance.
  • Schedule home inspections, repairs, showings, and open houses for both buyer and seller transactions.
  • Oversee all administrative tasks from executed purchase agreements to closing for both buyer and seller transactions.
  • Obtain the seller's approval for offers and counteroffers, facilitating a smooth transaction process.
  • Arrange and attend events related to the closing process, including moving schedules, for both transactions.
  • Manage post-closing systems, past client communication, and ensure financial systems' integrity.
  • Keep lead agents informed of any problems or issues, providing proactive solutions.
  • Implement projects as needed and manage all incoming/outgoing leads, prospects, and referrals.
  • Coordinate calendars and appointments for multiple team members.
  • Provide excellent customer service, negotiate inspection responses, and handle all closing issues for both buyers and sellers.
  • Gather all listing information, including property photos, pre-listing materials, and MLS research, to maintain listings on social media and in MLS.
  • Set up showings and open houses to gather critical feedback for process improvement.
  • Ensure file compliance by sending completed listing agreements, sellers' disclosures, and other documents to the office broker.
Qualifications:
  • At least 2 years experience in real estate or administrative experience.
  • Strong written & verbal communication skills.
  • Exceptional organizational & project management abilities.
  • Learning-based.
  • Strong consultation & customer service skills.
  • Service-based attitude.
  • Tech savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly.
  • Able to multitask and prioritize daily workload - can work on multiple projects at once.
  • Exceptional critical thinking skills.
  • Independent working with an ability to work at a fast pace.
  • Detail-oriented and an enjoyment of completely a large volume of tasks.
  • Comfortable handling strong personalities.
  • Must be thorough and Love to-do lists.
  • This person must have a CAN and WILL DO attitude. This person will be willing to help out wherever needed to help the team succeed.
