DescriptionA strategic business partner who contributes to the development of the advancement of our ESG Strategy, project planning and community management deliverables elated to ESG.
On the Community side, directs and manages the activities associated with planning, guiding and managing meetings of GS1 Canada's Sustainability Executive Forum, work groups and committees to support advancement of ESG business requirements, standards and ESG Platform development. This includes managing, preparing and overseeing agenda design, meeting and material preparation, minute-preparation, supporting stakeholder engagement and follow-up activities. This role liaises closely with GS1 Canada's Corporate Affairs team ensuring compliance with GS1 Canada's by-laws, with established board governance policies and practices.
On the project planning and management side, this role develops, tracks, and evaluate project plans to support the advancement of ESG goals and objectives within industry. This role will support tracking of budgets and business plans for key functional teams within GS1 Canada supporting both internal achievement of goals and objectives to support external ESG priorities.
This critical role acts as a strategic business partner to internal stakeholders supporting the ESG program ensuring we engage Committees (ie. Sustainability Executive Forum) and community work groups to meet strategic ESG project and program objectives.
Key Responsibilities1.Leads and executes GS1 Canada's community management and governance model under oversight of the Business Lead for ESG. Ensures GS1 Canada's Industry committees, community work group meetings and industry education and discovery sessions are held in compliance with GS1 Canada's anti-competition policy and governance practices.
  • Builds and maintains trusted relationships with key stakeholders, consultants and departments across the organization for effective meeting management and achievement of strategic objectives.
  • Works with ESG business owner and internal GS1 leadership to align governance structure and composition of committees and workgroups to the organizational strategic direction.
  • Supports the identification, co-ordination of and securing guest presenters, SMEs, and observers, as required for Committee updates and Board updates (as required).
  • Responsible for the distribution of Committee and Community group meeting materials and communications.
  • Acts as the Corporate Secretary at assigned meetings and produces accurate and timely minutes, capturing matters for follow-up.
  • Works with business owners to prepare for meetings, including establishment of meeting outcomes, tracking action items from meetings and communication with other departments, if necessary.
  • Effectively facilitates the internal meeting preparation for assigned committee, and community group meetings in an efficiently, diplomatically, and thoughtfully.
  • Support development, and management of onboarding, orientation, and education programs to facilitate participation of new members joining.
2. Oversees tasks related to Board, Committee and work group composition, terms and ongoing corporate governance functions - including Board reference materials, online portal, email distribution lists and Board and Community management website pages.
3. ESG Project and Community Manager accountable for developing, tracking, and evaluating project plans and artifacts, team collaboration, communication plans, schedules and timelines to support the advancement of ESG goals and objectives within industry. This role will create and manage budgets and business plans for key areas of GS1 Canada supporting both internal achievement of goals and objectives to support external ESG priorities.
Accountabilities include:
  • Developing and tracking project plan elements and making changes to stay on schedule.
  • Facilitating planning processes with internal teams.
  • Developing a strong internal cadence of updates to core team, extended team and GS1 Canada's Executive and Leadership teams. This will include developing strong update documentation and presentations to internal teams.
  • Strong internal collaboration and communication internally to ensure the milestones associated with advancing ESG standards, solutions development are met.
  • Plans, schedules and tracks projects, with related forecasts;
  • Expertly controls project scope and communicates impacts of scope changes;
  • Understands and controls end-to-end projects, thorough cross-functional workstreams and schedules;
  • Effectively discusses risk areas and conveys impacts and suggestions regarding scope and schedule;
  • Integrates information from multiple sources in order to anticipate issues and identify, quantify and mitigate project risk;
  • Builds and supports the project team, driving motivation, collaboration and alignment to project goals and outcomes;
  • Tracks short-term project metrics (i.e., schedule variances)
  • Provides oversight of any external resources contracted to the project;
  • Assesses Project Plans with stakeholders to determine resource requirements and delegation of assignments on projects;
  • Identifies project issues to ESG Business Lead, Sponsor, and ESG SteerCo.
  • Ensures that projects are effectively integrated across the organization and with targeted Subscriber organizations;
  • Ensures delivery of projects on time and on budget.

Skills, Knowledge & ExpertiseThe successful candidate will be a natural Project Manager and Leader with the proven ability to learn quickly, and is delivery, deadline and detail oriented, as well as someone who takes ownership for project(s)/programs and is results driven to succeed. Additionally, the following applies:
Experience
  • 3-5 years proven track record of experience in a project management role with preference given to those with data management and/or agile delivery experience;
  • 7-9 years related experience + continuous training and knowledge/skills upgrading;
  • Undergraduate degree in a related field of study (i.e. business, computer science, communications, etc.) preferred;
  • Proven ability to work well under deadline pressure and produce results in a collaborative, team-oriented and fast-paced environment;
  • Demonstrated ability to work independently and as an effective team member, to take initiative, to be proactive in anticipating and responding to board needs, and to manage multiple and changing priorities and deadlines;
  • Demonstrated ability to plan and manage projects in an environment requiring co-operation, coordination and flexibility to meet objectives.
Knowledge and Skills
  • Knowledge of ESG priorities within industry;
  • Working knowledge of the Project Management body of knowledge (PMBOK);
  • Proven solid understanding of Project Management methodologies with hands on proficiency with MS project and scheduling capabilities;
  • High level of proficiency with MS Office Suite (Word, Excel, Teams, Outlook, PowerPoint etc.)
  • Superior analytical and technical ability with strong organizational skills, ability to set priorities and manage many projects simultaneously with competing deadlines;
  • Proven understanding and proficiency in risk, action, issue and decision (RAID) management and tracking;
  • Outstanding, interpersonal, listening and negotiation skills, with the ability to communicate, maintain good relations with staff at all levels and influence others;
  • Strong analytical skills with the proven ability to understand and synthesize complex issues or situations and to make sound and creative recommendations or decisions;
  • Superior written and oral communication skills addressing all audiences, particularly senior stakeholders and board members;
  • Strong attention to detail;
  • Knowledge of Organizational Change Management (OCM) principles to support adoption and integration;
  • Entrepreneurial spirit suitable for fast-paced, results-based environment requiring flexibility to everchanging needs.
