As a Real Estate Administrative Assistant, Front Desk, you will be an integral part of our team, providing essential support to our agents and ensuring smooth operations within our office. Your role will be crucial in facilitating the day-to-day administrative tasks and client communications necessary to drive our success in the real estate market.

Responsibilities:

  • Manage and maintain schedules, appointments, and travel arrangements for real estate agents.
  • Assist with the preparation of real estate documents, including listing agreements, purchase contracts, and leases.
  • Handle incoming calls and other communications, managing correspondence with clients, and providing stellar customer service.
  • Maintain an organized filing system for all real estate transactions and records.
  • Support the marketing team in managing listings and posting property advertisements online.
  • Coordinate open houses, viewings, and meetings between buyers, sellers, and agents.
  • Assist in preparing comparative market analysis reports and other data support materials.
  • Process and track transaction activities and paperwork to ensure compliance with relevant laws and regulations.
  • Perform general office duties, such as ordering supplies and maintaining records management database systems.

Qualifications:

  • 1-2 years of experience working with a Real Estate Brokerage.
  • High school diploma required; further education in Office Administration or related field preferred.
  • Proven administrative experience, ideally in the real estate industry or a similar field.
  • Strong understanding of real estate operations and familiarity with real estate laws and terminology preferred.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and prioritize daily workload.
  • Excellent communication skills, both verbal and written.
  • Good understanding for RECO Guidelines in Ontario
  • Proficiency in MS Office, particularly Excel, Outlook, and Word; experience with real estate CRM platforms is a plus.
