Position Title: Executive Coordinator

Location: 788 Beatty Street, Vancouver, BC V6B 2M1

Terms: Full-time, Permanent

Reports to: Executive Committee

Position Overview:

The Vancouver Whitecaps FC seeks a highly organized individual to provide timely and effective administrative support to the Club's Executive Committee, while contributing to the ongoing support our culture and core values, as well as our commitment to our local communities.

Role Responsibilities will include, but are not limited to:

  • Providing efficient, proactive administrative and business support with the highest level of confidentiality and discretion to the CEO/Sporting Director and other members of the Club's Executive Committee (ExComm).
  • Managing calendars as required; prioritizing items, scheduling and coordinating internal and external meetings/events and conference calls
  • Supporting and prioritizing communication and activity flow: researching and providing executive briefings, generating correspondence as needed, creating meeting agendas, attending meetings, taking minutes and distributing information as appropriate, following up to ensure that target achievement is supported
  • Act as liaison to external and internal parties, hosting guests and players as needed at any of the Lower Mainland facilities (Beatty Street Office, National Soccer Development Centre @ UBC, Christine Sinclair Centre – Burnaby) or other locations, arranging refreshments or reservations as required
  • Booking and coordination of travel and other arrangements as required
  • Tracking and management of expenses
  • File organization and management
  • Management of or collaboration on special projects and cross-functional initiatives, as needed
  • Attendance at home games and special events on weekends and evenings, as required.

Qualifications/Attributes/Experience:

In addition to bringing a commitment to the Club's vision and values, the ideal candidate will require a broad base of knowledge with degrees of demonstrated experience as follows:

  • Exceptional organizational, interpersonal, and communication abilities, allowing ease in collaboration and building business relationships at all levels, with the highest level of professionalism and confidentiality
  • High level of self-motivation and initiative, with outstanding analytical and creative problem-solving abilities
  • Team/Service focus – commitment to excellence, represents the Club and the ExComm in a positive, consistent manner
  • 5+ years previous experience supporting an Executive team or law firm / professional services practice
  • The ability to exercise sound decision-making, deciphering priorities in a wide range of issues and situations.
  • Proven success in managing multiple tasks and varied deadlines effectively
  • Advanced proficiency with Microsoft Office suite of products and strong knowledge of computer technology (i.e., adaptable to learning new software systems and can competently troubleshoot minor issues)
  • Exceptional written communication skills
  • A post-secondary degree or diploma in a related field is preferred, or an equivalent combination of education and experience
  • Previous work in sports and/or live events or similar is an advantage, but not required

Vancouver Whitecaps FC is the longest-running professional soccer club in Canada and the United States. Since its inaugural season in 1974, the club has united generations of loyal fans in British Columbia and beyond. With academies in eight out of ten provinces, a network of partner clubs, and hundreds of camps and clinics every year, Whitecaps FC provide a foundation for Canada's soccer future.
