The Project Administrator will provide essential support to the project management team, ensuring efficient and effective project operations. This role involves coordinating project activities, managing project documentation, and communicating with stakeholders to ensure project milestones are met. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks simultaneously.

Key Responsibilities:

Project Coordination:

  • Assist in sorting out materials for the projects.
  • Coordinate project meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist with creation of Purchase orders, work orders for the job following Valard's internal processes.
  • Take on responsibility of putting in locates for jobs and continuous monitoring of the same.
  • Able to deal with various permit bodies in the province and get all retrieve all relevant permits for the project.

Documentation and Reporting:

  • Maintain comprehensive project documentation, including plans, reports, and records.
  • Prepare and distribute regular project status reports to internal and external stakeholders.
  • Ensure all project documents are complete, current, and stored appropriately.

Communication:

  • Serve as a point of contact for project-related inquiries and communications.
  • Facilitate effective communication among project team members, stakeholders, and clients.
  • Assist in preparing and delivering project presentations and updates.

Resource Management:

  • Assist in the allocation and tracking of project resources, including personnel, equipment, and materials.
  • Monitor and report on project budget and expenditures.
  • Coordinate with vendors and suppliers as needed for project requirements.

Administrative Support:

  • Perform general administrative tasks, such as data entry, filing and gathering data.
  • Support project managers in day-to-day project administration activities.
  • Help identify and implement process improvements to enhance project efficiency.

Requirements

EDUCATION AND EXPERIENCE:

  • Bachelor's degree in Business Administration, Project Management, or a related field. Relevant experience may be considered in lieu of a degree.
  • Minimum of 2 years of experience in project coordination or administration, preferably in the construction industry.
  • Project Management Professional (PMP) certification or similar.
  • Experience with financial tracking and budget management.
  • Competency with MS Office Suite (Word, Excel, PowerPoint).
