Job Summary

The WIL Project Coordinator contributes to the success of the WIL team (TalentED YYC ) by supporting report writing, financial workflows, internal and external communication, document management, task coordination and other administrative tasks which will enable interactions with stakeholders (post-secondary institutions, local SME's, business and non-profit community) and enable the team to meet set targets and milestones and further the goals of CED to grow businesses and careers in Calgary.

This is a 10 month full-time contract.
Key Responsibilities:

  • Support the Executive Director and the WIL Secretariat Managers in tracking project tasks, goals and milestones.
  • Identify and administers various tools to enable effective / efficient cross-team communications and collaboration between the WIL Secretariat teams
  • Collaborates with the WIL Secretariat members on monthly reporting including tracking KPIs.
  • Provides support for the administration of surveys and offers digital and in person program IT support for WIL events organized by various WIL Secretariat teams.
  • Organizes and schedules meetings with the post-secondary institutions, SMEs, business, volunteer organizations, and other key stakeholders as required.
  • Drafts monthly, quarterly, and annual (where applicable) reports to stakeholders and funders.
  • Submits purchase requests and invoices from vendors to CED's Finance team on behalf of the WIL Secretariat through Concur.
  • Files vendor contracts and invoices received in SharePoint.
  • Ensures the WIL finance tracker is up-to-date and accurate at all times by noting purchase order numbers, invoice numbers and cost amounts.
  • Follows up with CED's Finance team and WIL Secretariat members to clarify vendor contract and/or invoice submission requests, as needed.

Education:

  • Post-secondary education such as a degree in business administration, marketing and communications or international business is an asset

Experience:

  • Minimum of 1-2 years of experience preferably in a coordination role working with multiple stakeholders
  • Prior experience in project coordination / program coordination, reporting, post-secondary or non-profit administration is considered an asset

Note: An equivalent combination of education and experience may be considered.

  • Detail oriented and strong project, event and/or budget management skills
  • Ability to execute assigned projects and tasks in a timely manner
