We're hiring a motivated real estate administrative assistant to join our team. Responsibilities include administrative duties such as keeping track of all transaction documents in the client database for the real estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments and final walkthroughs. You'll also support the team by marketing the company on social media and planning company events. The ideal candidate should be a great communicator who is driven and highly detail-oriented. Compensation:

$40,000 - $48,000

Responsibilities:
  • Enter client information into the database, monitor transaction activities, and submit required documents to ensure compliance
  • Arrange home inspections, repairs, showings, and open houses for both buyer and seller transactions
  • Manage all administrative duties from executed purchase agreements to closing for both buyer and seller transactions
  • Secure seller approval for offers and counteroffers to ensure a smooth transaction process
  • Organize and participate in events related to the closing process, including coordinating moving schedules for both transactions
  • Oversee post-closing systems, maintain communication with past clients, and ensure the integrity of financial systems
  • Keep lead agents updated on any issues or problems, providing proactive solutions
  • Implement projects as needed and handle all incoming and outgoing leads, prospects, and referrals
  • Coordinate calendars and appointments for multiple team members
  • Deliver exceptional customer service, negotiate inspection responses, and resolve all closing issues for both buyers and sellers
  • Collect all listing information, including property photos, pre-listing materials, and MLS research, to maintain listings on social media and in the MLS
  • Arrange showings and open houses to gather critical feedback for process improvement
  • Ensure file compliance by submitting completed listing agreements, sellers' disclosures, and other documents to the office broker
Qualifications:
  • Communicates well, both verbally and written
  • At least 3 years of administrative experience
  • Strong written & verbal communication skills.
  • Exceptional organizational & project management abilities.
  • Tech savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly
