Today our team at CLV is confirming an opportunity for a Real Estate Executive Assistant for our Acquisition team in Ottawa. If you are an administrative pro who has master level problem solver skills and is looking for a permanent opportunity on a phenomenal team, then we need to talk!

We are looking for an organizational force, someone that wants to learn the business, be part of our community and assist with projects and assignments that create value and impact. You will assist in driving the strategic goals of our company by enhancing engagement and communications internally and externally. Your administrative support will have an impact, either through stakeholder engagement by preparing reports, collecting and analyzing information, coordinating schedules, following up on outstanding items, setting up bring forward items for review, drafting documents and streamlining communications. You will be helping our team spend time in the right areas to make the biggest impact.

In addition to the duties expected of a seasoned executive assistant, in this role you will be responsible for:

  • Preparing information packages for potential investors and key stakeholders.
  • Managing internal and external meeting coordination. You will own the management of the team's calendars by ensuring all necessary pre-meetings, materials, and presentation materials are completed. This will include planning and scheduling meetings and travel.
  • Preparing briefing files in advance of events and scheduled activities.
  • Partnering closely with others in the organization to build strong cross-functional relationships.
  • Handling calls and answering or directing inquiries.
  • Maintaining contacts and task lists.
  • Providing historical reference accuracy by developing and utilizing filing and retrieval systems.
  • Drafting and/or editing letters, documents, and presentations. Preparing legal agreements.
  • Following up on outstanding items and setting up bring forward items for review.
  • Maintaining confidence while sharing information and protecting operations by keeping information confidential.
  • Preparing invoices and maintaining records.
  • Supporting the success of corporate events by assisting with planning, logistics and execution.
  • Other related activities to support team efforts.

What we are looking for

  • An engaging and infectious "get things done" attitude with outstanding team building skills
  • Previous administrative work experience in real estate or similar industry
  • Strong writing skills with ability to create professional investor packages
  • Proficiency with MS Office suite
  • Ability to maintain confidentiality
