Your Role at Raymond EMC:

We are currently seeking a fully bilingual and detailed-oriented individual to join our team as a Project Coordinator! This is an in office position where you will play a crucial role in supporting our Project Management team and ensuring the smooth administrative flow of projects from initiation to completion. This involves scheduling resources, coordinating and communicating with clients, suppliers, carriers, & internal REMC staff. The ideal candidate will be hardworking, demonstrate initiative, and feels comfortable working with multiple priorities in a fast-paced environment.

Responsibilities:

  • Taking minutes at meeting (progress meetings, debriefs meeting, kick-off meeting, etc)
  • Drafting schedules
  • Updating schedules in Birdview (BV)
  • Updating notes in Shop Tasks Priorities List (STPL) and Weekly minutes in BV
  • Uploading project data in BV
  • Infilling material quantities for shop in BV
  • Creating PO's
  • Creating shipping forms
  • Tracking deliveries
  • Taking care of per diems for technicians
  • Converting site diaries in BV
  • Uploading pictures to BV
  • Following up on invoices in BV
  • Making purchases with credit cards
  • Coordinating rentals
  • Coordinating travel arrangements for techs
  • Creating site binders
  • Drafting warranty letters
  • Drafting job scope analysis
  • Saving close-out documents into BV
  • Coordinating small projects
  • Coordinating maintenances:
    • Liaison with client, shop, E&D
    • Troubleshooting issues
    • Issue service report to clients
    • Creating CO requests
    • Invoicing client
    • Maintaining BV service record
    • Maintaining site binder records
  • Coordinating Tempest orders
    • Liaison with Eurotempest
    • Liaison with client
    • Creating PO
    • Tracking orders
    • Coordinating labels
    • Labelling all equipment
    • Coordinating shipment with shop and client
  • Coordinating parts orders
    • Liaison with client, shop, E&D
    • Troubleshooting issues
    • Creating CO request
    • Submitting close-out documents

Please Note:

  • This is an in-office position, Monday - Friday.
  • The salary offer will be tailored to your qualifications and demonstrated skills.

Qualifications & Requirements:

  • Bilingual in English and French (advanced proficiency level)
  • 1-2 years experience in project admin/coordination
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Proven experience in an administrative role with a focus on attention to detail
  • Ability to work in office, Monday - Friday
  • Valid drivers license and reliable form of transportation (no bus route to our location)
  • Police check and ability to obtain Top Secret security clearance with the Government of Canada
  • Experience with Microsoft Office Suite
  • Ability to work independently, as well as collaboratively
  • Motivated self-starter
  • Problem-solver
