Job Brief

We are looking for a responsible Front Desk Receptionist / Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities.

What does an Administrative Assistant do?

Administrative Assistant responsibilities include answering phones, taking payments from customers, doing inventory, preparing reports and maintaining appropriate filing systems, with the potential for accounts receivable/payable opportunities. The ideal candidate should have excellent oral and written communication skills and be able to utilize Microsoft Excel efficiently.

Responsibilities

  • Answer and direct phone calls, take messages, and answer questions customers may have
  • Write and distribute emails, have correspondence with customers and contractors when needed
  • Run customer credit card payments on our online program
  • Maintain the current filing system
  • Order office/safety supplies
  • Maintain contact lists
  • Provide general support to customers, managers, and employees
  • Assist in payroll and some invoicing

Requirements

  • Experience as an Administrative Assistant, Office Admin Assistant, or Receptionist
  • Working knowledge of office equipment, like printers and multi-line phones
  • Proficiency in MS Office: Outlook, Excel and Word
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School diploma, Secondary schooling being a bonus
  • Technical writing skills are a plus

Please note: Training will be provided if a candidate is found with less experience. We are looking for an individual that will mesh well with our current team.

Job Type: Full-time, Maternity Leave Coverage with possibility of full time employment after the leave coverage ends

Salary: $21.00-$23.00 per hour depending on experience
