Position Summary

The Accounting Administrator is responsible for providing administrative and bookkeeping services in order to ensure effective and efficient operation of the Central Administration & Finance Department. This position works closely with the Accounting & Payroll Administrator, Inter-office Administrative Coordinator and other front desk support.

Qualifications/Requirements

This individual must have accounting knowledge, proficient in Excel and prefer to have knowledge of the Sage accounting program, common payroll practices, analyzing information, general math and data entry skills. They will have excellent communication skills in both written and verbal, thoroughness with attention to detail, problem solving skills, willingness to learn new applications and processes and the ability to prioritize projects. Works well in a team setting and autonomously little supervision and willingness to co-operate with others and work to the greater good of the organization and clients.

  • Post-secondary Degree in finance or related discipline
  • Proficient in Microsoft Office Applications (Word, Excel, Outlook);
  • Proficient in Sage (formerly Simply Accounting);
  • Knowledge of customer services principles and practices;
  • Clean Criminal Record

Duties and Responsibilities

The efficient day-to-day operation of RODS' culturally diverse organization is maintained through a collaborative approach with the Executive Director, managers and staff through consensus based decision making. The Accounting Administrator's responsibilities will include:

Bookkeeping services:

  • Perform bookkeeping duties such as filing, recording and posting day-to-day transactions accurately and efficiently;
  • Maintain and updating accounting records such as invoices, receipts for external auditing purposes;
  • Record and post monthly Administrative overheads and capital asset depreciation journal;
  • Updating General Ledgers for program managers;
  • Ensure source documents such as invoices and receipts are coded to the appropriate program and account;
  • Reconcile bank, advance, and credit card accounts in Sage; Manage Petty cash & issue receipts;
  • Reconcile all vendor statements;
  • Forward all invoices to the appropriate programs/individuals;
  • Payroll benefits adjustment;
  • Answer questions from colleagues and vendors about invoices and accounts payable quickly and accurately;
  • Complete credit applications, as requested;
  • Process interpreter and basic household needs receipts or invoices whenever requested by Inter-office Administrative Coordinator;

Payroll services:

  • Back-up for Payroll administrator

Receptionist and administrative services:

  • Work closely with Inter-office Administrative Coordinator to ensure asset inventory is accurate and up- to-date.

Other duties:

  • Back up of Sage Accounting Program on a daily
  • Any other duties as requested by Finance manager.
Working Conditions

Work is performed primarily in a standard office environment with extensive employees and public contact and frequent interruptions. Primary functions require sufficient physical ability and mobility to work in an office setting.

Hours of work: Monday to Friday from 8:00 AM to 4:30 PM with a one hour unpaid lunch break and every second Friday or Monday off.

Salary Level/Classification

Professional Category 1 (PC1), $30.12 per hour, $52,854.94 annually.
