Job Title: Inside Customer Service/Order Desk Administrator

Location: Mississauga, ON

Responsibilities:

  • Perform clerical and administrative tasks, including reception duties, couriers, and mail management.
  • Coordinate daily shipping and receiving, ensuring accuracy and timeliness.
  • Maintain and update inventory lists and cost sheets.
  • Collaborate with vendors to purchase and manage stock inventory.
  • Monitor and manage inventory levels.
  • Process and invoice orders using QuickBooks, ensuring accuracy.
  • Update internal database management software with order information.
  • Accurately ship orders via various carriers using appropriate shipping methods.
  • Prepare shipping packages, including necessary documentation.
  • Document all inventory transactions efficiently.
  • Respond to inquiries and handle emergency orders courteously and promptly.
  • Prepare and issue various reports to management.
  • Conduct quarterly and year-end inventory counts, investigating discrepancies.
  • Assist with month-end procedures and reports.
  • Prepare documentation for purchases, returns, and warranty coverage.
  • Ensure accurate and error-free inbound and outbound shipments.
  • Provide internal customer service support to team members.
  • Build productive relationships within the team.
  • Assist with special projects and tasks as required.
  • Perform other administrative and clerical duties as assigned.

Qualifications:

  • Minimum of one year of experience in order desk, data entry, inventory management systems, shipping, and accounting.
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, and Outlook) and Adobe Acrobat.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to work independently and prioritize tasks effectively.
  • Strong communication skills, both verbal and written.
  • Ability to handle multiple tasks and work in a fast-paced environment.
  • Experience with QuickBooks or similar accounting software is preferred.
  • Knowledge of shipping procedures and carriers is an asset.
