THE OPPORTUNITY

As our Reception and Mail Administrator (or Workflow Wiz as we call it), your warm and friendly nature is felt by anyone that crosses your path since you have a natural ability to make people feel comfortable. You're energized by being of service to others in person, on the phone, or via email. Routine tasks that may be time-sensitive are your forte and are done with ease. Your organization skills, planning abilities, and resourcefulness help you adapt and fulfill all your responsibilities with care and success.

As our Workflow Wiz, you'll welcome people into our office at our front reception area, be the go-to person for all of our physical and virtual mail and packaging duties, handle office administration, assist team members in resolving customer issues as requested, provide feedback and support on the quality and efficiency of tools/services used for customer care, take part in team meetings, and engage in 1on1 coaching.

You are the right person for this role if you are friendly, you like being around people, want to work in a physical office space, are genuinely caring, highly organized and into details, focused, a quick learner, and can navigate through computer software easily! WHAT YOU'LL BRING

  • Experience and/or high aptitude with office administration
  • Experience with customer service
  • Strong computer literacy, especially with Excel, office programs, and web tools
  • Superb listening skills
  • Strong writing and oral communication skills
  • Strong organization, attention to detail, and prioritizing skills
  • Strong ability to work in repetitive tasks
  • Ability to work at our office headquarters, Monday to Friday, starting work at 8:30am and ending at 4:00pm (including breaks), while many of your team is working remotely. The role is normally part-time at 0.8 of a full-time equivalent position.
  • Ability to work full-time hours during T4 season from late November until the end of February.

Nice to have:

  • Experience working with a help desk software
  • Experience working with payroll software
  • Experience working with packaging (ie. mail, couriers)
  • Experience working with commercial printers and postage meters
