Reporting to the Property Manager, you’ll be a key point of contact for tenants and help keep service requests, communications, amenities, events and day-to-day needs moving. This is a highly visible, service-focused role for someone who enjoys building relationships, staying organized and making sure things actually get done. WHAT YOU’LL DO
- Serve as a primary day-to-day contact for tenants, responding to questions, concerns and requests professionally and promptly.
- Coordinate tenant service requests and work orders, ensuring they are documented, assigned, tracked and followed through to completion.
- Build strong tenant relationships and proactively follow up to confirm issues have been resolved.
- Coordinate tenant amenities, meeting and conference spaces, bookings and related communications.
- Plan and support tenant events, seasonal programs and other engagement initiatives.
- Support tenant communications, property promotions, digital content and social media.
- Maintain accurate tenant information, contact lists, manuals, notices and other tenant-facing materials.
- Support tenant onboarding and offboarding, including moves, access and building services.
- Coordinate with Property Management, Operations, Project Management, contractors and service providers to support tenant needs and minimize disruption.
- Track tenant insurance certificates and assist with other lease administration requirements.
- Support correspondence, meetings, reporting and other property management administration.
- Identify recurring issues and opportunities to improve the overall tenant experience.
- Experience in tenant services, property management, customer service, hospitality, office administration or another service-focused environment.
- Strong administrative, coordination and follow-up experience.
- Experience managing multiple customers, tenants, stakeholders or priorities at once.
- Commercial real estate or office property experience is an asset.
- Experience with events, marketing, social media or communications is an asset.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint and Teams.
- Experience with Canva or similar communications tools is an asset.
- Post-secondary education or an equivalent combination of education and experience.
- Valid driver’s licence.
- A genuine service mindset and interest in creating a great tenant experience.
- Strong communication and relationship-building skills.
- Evidence that you take ownership and follow things through to completion.
- Strong organization and the ability to manage competing priorities without losing the details.
- Good judgment about what you can solve independently and when to escalate.
- The ability to remain professional and solution-focused when something goes sideways.
- Resourcefulness and initiative when the answer is not immediately obvious.
- A collaborative approach to working with internal teams, vendors and contractors.
