A dispatcher plays a critical role in keeping freight moving efficiently while balancing customer expectations, driver safety, and operational costs. Key responsibilities include: Job responsibilities:
1. Load Planning and Dispatching
  • Assign loads to drivers based on appointments, routes, availability, hours of service, and equipment.
  • Optimize routes to maximize efficiency and minimize empty miles.
  • Coordinate pickups, deliveries, and transfers between terminals.

2. Driver Communication
  • Maintain regular communication with drivers throughout their shifts.
  • Provide clear instructions for pickups, deliveries, and schedule changes.
  • Support drivers by resolving issues such as delays, equipment problems, or customer concerns.

3. Customer Service
  • Keep customers informed about shipment status and estimated delivery times.
  • Respond promptly to customer inquiries on the status of a shipment.
  • Handle delivery exceptions professionally and work toward timely resolutions.

4. Time Management
  • Prioritize urgent shipments while maintaining service commitments.
  • Coordinate multiple deliveries and pickups simultaneously.
  • Adapt quickly to changing schedules and unexpected disruptions.

5. Regulatory Compliance
  • Ensure drivers comply with Hours of Service (HOS) regulations.

6. Problem Solving
  • Respond quickly to breakdowns, traffic delays, weather events, or missed appointments.
  • Develop contingency plans to minimize service disruptions.
  • Make informed decisions under pressure while maintaining operational efficiency.

7. Equipment Management
  • Monitor trucks and trailer availability.
  • Coordinate equipment repairs and maintenance with the terminal manager
  • Ensure equipment is assigned appropriately based on freight requirements.
8. Documentation and Record Keeping
  • Close manifests, driver messages, and ensure PODs are uploaded.

9. Coordination with Operations
  • Work closely with warehouse staff, dock supervisors, customer service representatives, and managers.
  • Coordinate with warehouse on driver start times.

10. Performance Monitoring
  • Track on-time pickup and delivery performance.
  • Monitor driver productivity and route efficiency.
  • Identify opportunities to improve service and reduce operating costs.

Education and Experience Requirements:
  • High school diploma required; post-secondary education in logistics, business administration, or a related field is preferred.
  • Three to five years of proven experience as a dispatcher or in a related logistics, transportation, or customer service role.

Qualifications/Skills:
  • Excellent communication, interpersonal, and customer service skills
  • Ability to multitask, prioritize competing demands, and manage time effectively.
  • Strong organizational, coordination, and problem-solving skills.
  • Proficiency with Microsoft Office and the ability to learn new software and systems quickly.
  • Working knowledge of fleet management or dispatch software.
  • Multilingual skills are considered an asset.
  • Ability to remain calm, professional, and effective when managing delays, customer concerns, and competing priorities.
