- Assist in managing and administering the everyday workflow of the Corporate Trust division, ensuring all administrative tasks are completed accurately and on time.
- Organize and maintain detailed records of transaction documentation, correspondence, and internal approvals.
- Coordinate with internal departments, including finance, to schedule and confirm incoming/outgoing wires, ensuring all supporting documents are present.
Compliance & Onboarding Support:
- Liaise with compliance and legal teams to ensure all regulatory requirements are met and documented.
Securities Administration:
- Communicate with our clients, as well as their counsel and securityholders on a regular basis
- Prepare and review documentation related to securities transactions, ensuring accuracy and compliance with governing agreements.
Backoffice Maintenance:
- Maintain comprehensive and organized records under various corporate trust appointments, including ongoing documentation and compliance requirements.
- Assist in the issuance and administration of securities, including processing warrant exercises, note conversions, and interest payments.
- Support the preparation and reconciliation of month-end corporate trust billing, ensuring accuracy and timely submission.
- Perform regular audits of internal records and systems to ensure data integrity and compliance with internal controls.
- Provide general administrative support including document formatting, data entry, file management, and responding to internal and external inquiries.
- Take the initiative in identifying process improvements and supporting the implementation of administrative best practices.
- Other duties as required.
