Position Overview
The Operations Coordinator is responsible for the day-to-day administrative,facility, and maintenance of ICC, a community center, a mosque, and school. This roleensures smooth daily functioning across all areas of the centre by managing officeadministration, coordinating facility use/rental and maintenance, and supportingcommunity programs and events. The ideal candidate is highly organized, personable,and comfortable working in a fast-paced, mission-driven environment that serves adiverse community.

Key Responsibilities
Administrative & Office Management● Manage office systems, records, files, and databases.● Coordinate scheduling and logistics for all events taking place on site.● Process incoming and outgoing inquiries, in person and email.● Vendors/contractor correspondence for preventative maintenance and oncall/emergency needs.● Assist leadership with correspondence, reports, project research & support.● Maintain organizational SOPs and documentation in an up-to-date, accessibleformat.
Facility & Maintenance Coordination● Oversee the day-to-day operation, cleanliness, safety of the building and grounds,including prayer halls, classrooms, offices, washrooms, wudu areas and exterior ofthe building.● Coordinate routine maintenance, repairs, and inspections with vendors andcontractors.● Maintain inventory of facility supplies, and equipment, and manage reordering asneeded.● Ensure compliance with health, safety, and fire code requirements, includingcoordinating required inspections and certifications with contractors.● Manage facility rental requests and coordinate room setups for prayers, classes,events, and private bookings.● Supervise or coordinate with custodial and maintenance staff or contractors.
Qualifications● Bachelor's degree preferred, or equivalent combination of education and relevantexperience.● 2+ years of experience in office administration, operations, facilities, ornonprofit/community program coordination.● Excellent organizational skills with the ability to manage multiple priorities anddeadlines.● Strong written and verbal communication skills.● Proficiency with Google Workspace; experience with project managementdatabase and scheduling software.● Comfortable being in a community front facing role, assisting all inquiries.● Familiarity with Islamic practices, terminology, and the rhythms ofcommunity/mosque life is strongly preferred.● Ability to maintain confidentiality and exercise sound judgment and discretion● Flexibility to work occasional evenings and weekends for events, prayers, andprograms.
Working Conditions● Primarily based on-site at ICC.● May require lifting and moving event materials, supplies, and equipment (up to50 lbs)● The schedule may include evening and weekend hours depending on communityevents and prayer times.
