Join Our TeamWe are seeking a highly organized, proactive, relational, and community-minded individual to support the daily operations of our Athletics Department. This role is integral to creating a positive and well-organized experience for student-athletes, coaches, staff, and families. The ideal candidate will thrive in a fast-paced environment, bring flexibility and strong interpersonal skills to their interactions, and contribute to the overall life of the school through a variety of administrative, logistical, communication, and event-support responsibilities. The Athletics Office Assistant reports directly to the High School Vice Principal of Athletics and supports the work of the 8-12 Athletic Director and Elementary Athletic Director.
Key Responsibilities
- Strategic Assistance: Perform additional duties and special projects as assigned by the Vice Principal of Athletics.
- Systems & Data Management: Oversee and maintain critical departmental systems, including student registrations, league submissions, athlete contracts, and athletic fee tracking.
- Logistics & Scheduling: Coordinate facility scheduling, transportation routing, and operational logistics for athletic programs, games, and special events.
- Inventory & Resource Stewardship: Manage the ordering, distribution, collection, and tracking of athletic uniforms and equipment, and the organization of dedicated storage facilities.
- Administrative Operations: Support day-to-day operations of the K–12 Athletics Department, ensuring accurate records and documentation for coaches and parent volunteers.
- Coach & Volunteer Onboarding: Facilitate onboarding processes and ongoing administrative support for the coaching staff and volunteer network.
- Departmental Communications: Draft and distribute engaging athletics content—including announcements, newsletters, promotional materials, and social media updates—to celebrate and inform the VCS community.
- Event Coordination: Support the planning, logistics, and on-site execution of hosted athletic tournaments, coach meetings, and parent information sessions.
- Operational Flexibility: Provide on-site support for occasional evening athletic events and weekend tournaments as required.

- Have an interest in athletics and a desire to support the development of student-athletes and athletic programs.
- Be relational, service-oriented, and enthusiastic about supporting student-athletes and the broader school community.
- Demonstrate strong organizational and administrative skills with exceptional attention to detail.
- Be proactive, adaptable, and able to manage multiple priorities in a dynamic environment.
- Possess excellent written and verbal communication skills.
- Demonstrate creativity in developing engaging content for newsletters, social media, and other athletics communications.
- Work effectively both independently and collaboratively as part of a team.
- Demonstrate confidence using Google Workspace (including Docs, Sheets, Slides, Forms, Drive, and Gmail), spreadsheets, databases, and other digital tools.
- Have experience coordinating projects, events, schedules, or administrative processes.
- Have previous experience in athletics, education, recreation, or administration (preferred).
- Hold a valid driver's license and have access to a vehicle (considered an asset).
