Equipment Coordinator, LeadAs part of Bird Construction, Eastrac provides fleet and heavy equipment solutions that support projects across Canada. We are seeking an Equipment Coordinator, Lead to oversee the day-to-day coordination of fleet and heavy equipment activities while ensuring assets are deployed efficiently, maintained accurately, and aligned with operational priorities.
This role serves as the primary point of coordination between Operations, project teams, vendors, maintenance providers, and equipment users to maximize utilization, control costs, and ensure equipment is available where and when it is needed.What You Will Be Working On
Lead the coordination and scheduling of fleet and heavy equipment across multiple projects and operating locations.
Manage equipment requests, assignments, transfers, mobilizations, and demobilizations to support operational requirements.
Maintain accurate equipment records, including asset data, locations, utilization, maintenance status, ownership, and documentation.
Monitor fleet utilization and availability and identify opportunities to improve equipment deployment and operational efficiency.
Coordinate preventive maintenance, inspections, repairs, licensing, and regulatory requirements to ensure equipment remains compliant and operational.
Support equipment procurement, rentals, leases, disposals, and vendor management activities.
Review and validate equipment costs, vendor invoices, internal chargebacks, and supporting documentation.
Prepare utilization reports, equipment tracking dashboards, and operational metrics for leadership and project teams.
Work closely with Operations, Finance, Procurement, and external vendors to resolve equipment-related issues and support continuous improvement initiatives.
Provide guidance and mentorship to Equipment Coordinators and administrative support staff as required.
Post-secondary education in Business, Supply Chain, Logistics, Heavy Equipment Management, Construction Management, or a related field, or an equivalent combination of education and experience.
5+ years of experience coordinating fleet, heavy equipment, transportation, construction, industrial, or asset management operations.
Strong understanding of heavy equipment, fleet operations, maintenance planning, utilization tracking, and equipment logistics.
Experience working with ERP, fleet management, or asset management systems.
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
Excellent communication and stakeholder management skills.
Proficiency in Microsoft Office, including Excel.
Experience within construction, industrial, mining, infrastructure, or equipment rental environments is considered an asset.
