Internal Communication CoordinatorReporting to the Manager, Internal Communications, the Internal Communications Coordinator plays a key role in supporting, developing, and distributing various communications throughout Bird. This includes spearheading employee newsletters, developing organization-wide and audience-specific communications, supporting internal events, managing the Intranet, and ensuring all associated creative complies with brand standards.
This role is based in Calgary and offers a flexible work arrangement with the majority of time in office.What You Will Be Working On

Employee Newsletters

  • Maintain accurate list of Subject Matter Experts and curate content for monthly all-employee newsletter and bi-monthly leader newsletter

  • Copywrite, develop, edit, and design newsletters; Obtain necessary internal approvals prior to distribution

  • Manage newsletter distribution lists and perform regular audits to ensure they remain up to date

  • Be the Subject Matter Expert for Bird’s email distribution tool, Workshop; Manage licenses and permissions, develop templates, upload updated distribution lists, and provide internal training and support

  • Monitor channel analytics and trends to ensure newsletter content is relevant to audience; identify opportunities for subsequent internal stories

Internal Communications & Events

  • Work with various internal stakeholders to support their internal communications needs and projects through effective planning, research, content development, and plan execution; Assist in establishing metrics for success and reporting on performance, where applicable

  • Organize and coordinate mass emails from various groups: Manage multiple internal teams’ priorities and expectations to ensure emails are distributed in a timely manner without overwhelming employees’ inboxes

  • Develop and foster relationships across departments, districts, and leadership levels; Support the development of various executive communications

  • Maintain distribution lists for national communications; Perform regular audits to ensure lists are up to date

  • Provide support and management for new policy development and updates to existing policies

  • Develop quarterly videos and distribute to branches to be displayed in office lobbies

  • Assist with planning, communications, content development, and execution for national internal Bird events, such as quarterly employee broadcasts, annual town halls, recognition awards, and community engagement initiatives; Monitor and summarize analytics to gauge employee engagement and overall success

  • Lead monthly communications call with key internal communicators, creating an opportunity for knowledge sharing and highlighting upcoming events; Manage Comms Network Intranet page

  • Monitor Internal Communications inbox and reply to inquiries in a timely manner

  • Facilitate French translations of internal documentation using external third parties, where applicable

Intranet

  • Own the Intranet and main navigation; Manage permissions, provide training, and curate and manage content for National News and select pages/sites

  • Manage digital and brand assets; Ensure information and assets are up to date

  • Support internal teams with the development and maintenance of their respective pages/sites; Train new site owners to manage their respective pages/sites

  • Uphold best practices to keep the Intranet clean and easy to navigate; Perform regular audits of documents and subpages/subsites to ensure compliance

  • Monitor and track relevant page, site, and news posts analytics, and provide support and analytics for leader-specific chatbot

  • Respond to ad-hoc intranet support requests/questions

What We Are Looking For
  • Post-secondary degree in Communications, Journalism, Marketing, or a related field

  • 2 to 3 years of experience in corporate communications or marketing; AEC industry experience considered an asset

  • Strong command of the English language, with robust written and verbal communication skills and a keen eye for detail

  • Experience with Microsoft Office Suite (Copilot, Outlook, Word, PowerPoint, and Teams).

  • Experience with intranet management platforms (SharePoint) or content management systems considered an asset

  • Comfortable with graphic design tools, particularly Canva and/or Adobe Creative Suite

  • Experience with email distribution tools, particularly Workshop, considered an asset

  • Ability to build and maintain positive working relationships at various levels within the organization and across various teams

  • Strong organizational skills and the ability to manage multiple tasks and deadlines

  • Comfortable working in a growing, fast-paced environment with shifting priorities

  • Positive attitude and collaborative mindset
