What You’ll Be Doing
As an Executive Assistant to Senior Vice-President, you are responsible for managing the day-to-day administrative activities in support of the Senior Vice-President, ensuring the department operates in an efficient manner. The role applies strong administration, organization skills, and judgement to provide support activities such as calendar management, invoice processing, travel booking, and screening and evaluating email and correspondence. The Executive Assistant to SVP exercises independent initiative to support team events, developing and maintaining administration procedures and processes, coordinating meetings, and processing expense accounts.
At CIBC we enable the work environment most optimal for you to thrive in your role. You’ll have the flexibility to manage your work activities within a hybrid work arrangement where you’ll spend 1-3 days per week on-site, while other days will be remote.
How You’ll Succeed
Calendar management - Maintain and monitor the executive’s calendars, ensuring appointments, events, and priority matters are organized. Coordinate agendas, send meeting invitations, book meeting rooms, and arrange IT resources as needed. Proactively identify and manage calendar conflicts
Inbox triage and decision support – screen, organize, and prioritize incoming email to highlight what requires the SVP’s decision, input, approval or awareness. Track outstanding items and identify follow ups.
Travel arrangement & expense reporting - Arrange travel for executives and team members, manage expense submissions, and process invoices. Track department expenses and update financial reports as needed.
Professional support - Prepare confidential, strategic, and specialized correspondence, minutes, reports, and presentations. Assist with the creation of management presentations and reporting.
Administrative duties - Support onboarding and offboarding by processing technology, corporate card, expense, and travel profile requests. Prepare decks for team or annual events under SVP/VP guidance. Act as a delegate for executives for Workday transactions.
Executive Support: Organize the activities of the Executives and provide administrative support using independent judgment, discretion and diplomacy. Anticipate needs and initiate appropriate action to ensure the most effective use of the Executives' time and attention, as well as your own. Briefing the Executives before appointments or meetings with appropriate background information, as required.
Who you are
You're an experienced administrative professional. You bring at least 3-5 years of experience as an Executive Assistant in a highly professional, confidential, and fast-paced environment, supporting executive-level leaders.
You maintain confidentiality and handle sensitive information with care. You understand the importance of discretion and privacy, ensuring sensitive matters are managed appropriately.
You're a strong communicator. Your excellent verbal and written communication skills help you interact effectively with a diverse range of individuals, always demonstrating tact, diplomacy, and discretion.
You're digitally proficient. You have a strong command of the MS Office suite, including Word, Excel, PowerPoint, and Outlook.
You know that details matter. Your keen attention to detail and critical thinking inform your decision-making and ensure accuracy in all tasks.
