This is a one-year temporary position, with the possibility of renewal. While the position will officially report to Communications and Institutional Relations, it is based in the Dean’s Office, Faculty of Engineering.

Position Summary:

Reporting to the Communications Officer, the Communications Administrator supports the Faculty of Engineering’s advancement, alumni relations, student engagement, and donor-focused communications through the coordination and preparation of written, digital, and web-based content. The incumbent assists in producing newsletters, articles, profiles, event communications, and website updates that promote the Faculty’s research, teaching, and student experience.

Working closely with University Advancement, the Faculty Communications Officer, and internal partners, the role ensures consistency in messaging, branding, and content across platforms. The Communications Administrator maintains alumni and student-facing websites, supports recruitment and student communications, and provides administrative and coordination support for Faculty events and initiatives. This position contributes to informing and engaging alumni, donors, students, and partners, while supporting recognition, stewardship, and recruitment activities across the Faculty.


Primary Responsibilities:

  • Support the implementation of communications activities aligned with advancement, recruitment, and student priorities
  • Coordinate with Faculty and University Communications teams to ensure consistency in messaging and branding
  • Liaise with stakeholders to gather, verify, and organize content for communications use
  • Draft and edit routine materials including reports, newsletters, web updates, and promotional content
  • Maintain and update website, alumni channels, and student-facing content to ensure accuracy and consistency
  • Prepare event-related communications such as invitations, agendas, and speaking notes
  • Maintain communications records, including organizing and managing photo, video, and digital files
  • Prepare donor and alumni correspondence and support stewardship activities
  • Assist with student communications and recruitment materials
  • Support communications for Faculty events and initiatives (including photos and video recordings)
  • Assist with event coordination, including logistics, communications, and follow-up activities
  • Provide on-site administrative support for events as required


Other Qualifying Skills and/or Abilities

  • Excellent English and French, spoken and written
  • Strong understanding of accessible and inclusive communications
  • Experience with Canva and photography, with knowledge of Adobe Creative Cloud an asset
  • Experience in website content management (ideally in Drupal)
  • Proficiency in Microsoft 365, AI and Large Language Models, and various communication tools into workflows
  • Ability to understand needs and engage with various clients and audiences (alumni, donors, students, researchers, administration)
  • Ability to work both in a team and independently
