How You'll Make an Impact:
The Administrative Assistant is responsible for providing senior-level administrative and organizational support to the Resident District Manager (RDM). In this trusted role, the Administrative Assistant acts as the first point of contact on behalf of the RDM, ensuring all interactions are handled with confidentiality, professionalism, and courtesy.
Key Responsibilities
- Create, organize, and maintain physical and electronic filing systems (using OneDrive). Draft, edit, and proofread documents for the RDM, including time-sensitive and confidential materials.
- Manage the RDM's calendar and schedule, coordinate meetings, and prepare meeting materials such as agendas, presentations, and reports.
- Attend meetings as required to take minutes, track assigned tasks, and follow up to ensure timely completion.
- Provide administrative support on projects across the broader Support Services team.
- Support Health & Safety efforts by acting as recorder for Joint Health and Safety Committee (JHSC) meetings and uploading documents to iMS.
- Coordinate logistics for site tours, events, and corporate initiatives, acting as a liaison for internal stakeholders and external visitors.
- Represent the RDM as the initial point of contact, handling inquiries and correspondence with professionalism and discretion.
Qualifications
What You'll Need to Succeed:
- College diploma or equivalent combination of education and experience (post-secondary degree an asset).
- Minimum 5 years of experience in office administration, including direct support to senior leaders with complex calendars.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, OneDrive); familiarity with Adobe, Canva, and Smartsheet is an asset.
- Strong organizational, multitasking, and prioritization skills in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proven ability to handle sensitive information with discretion and maintain confidentiality.
- Professional, proactive, and able to work independently or collaboratively with cross-functional teams.
