JOB SUMMARY : Under general supervision, the Manager of Admissions Operations is responsible for the coordination, development and execution of all activities related to the operational component of graduate admissions and supports graduate admissions activities more broadly. The Manager will work closely with the directors of graduate admissions on the Lewiston (NY) and Vaughan (Ontario) campuses to ensure a collaborative and smooth process for applicants applying to Niagara University graduate programs. The manager possesses strong knowledge of the graduate admissions process, in-depth understanding of admissions CRM software, detail-oriented approach to managing applicant files, and a collaborative approach to working with colleagues. ESSENTIAL DUTIES : Extensive work with university CRM (Slate) related to all facets of the application process; assisting in integrating prospect information into system; uploading information related to applicant files, downloading test scores. Comprehensive report development for each graduate program across both campuses. Management/training of new recruiters/admissions staff on use of Slate CRM and other related processes and procedures. Work with Institutional Research Office to verify final numbers for institutional, federal, state reporting as well as rankings. Work with the admissions team to verify English proficiency test scores for international applicants; engage in review of WES or Spantran evaluations and use of the WES GPA calculator. Continuous Slate training and support to the needs of recruitment staff. Provide staff trainings and updates, develop Slate solutions to arising needs. Provide ad hoc lists of students, applicants, event attendees, confirms to academic departments for follow up or general information. Provide admissions preliminary credit evaluations for applicants wishing to apply graduate certificate credits towards Masters programs. Process all application deferrals and status changes. Complete regular checks of application functionality, make all necessary edits and yearly updates; regularly import prospects. Work with graduate student admissions advisors overseeing call campaigns and create call queries. Coordinate marketing queries and mailings including updating communications packages within Slate to improve efficiencies and maximize automation. Serve as a member of the Summer Orientation Steering Committee; coordinate mailings. Coordinate updates of all decision letters/templates; update in Slate. Run reports from Colleague to cross-check registrations. Slate updates and upkeep, both daily and yearly maintenance (i.e., territory realignment, merit level updates, bin cleanup, mapping imports, checklists, etc.). Create and update yearly queries for directors, academic department chairs, and advisors. Maintain confidentiality of information (including but not limited to student and employee personal information, student grades, etc.), both during and after their tenure with the university. Any question regarding the confidentiality of material, should be referred to the supervisor. Any violation shall subject the employee to disciplinary action, up to and including termination of employment. Work occasional evenings, weekends, and late hours as needed to complete recruitment tasks. Perform other duties as assigned. REQUIRED KNOWLEDGE, SKILLS AND ABILITIES : # Strong interpersonal and communication skills; strong team player with ability to work independently in a fast-paced environment. # Knowledge of the college admission process; # Strong understanding of admissions CRM recruitment software, preferably experience with Slate. # Ability to work with a bi-national team of admissions professionals located on the Niagara University campuses in New York and Ontario. # Proactive problem-solving skills with the ability to document processes designed to create solutions to the challenges presented by the graduate admissions team. # Proficiency to handle various office machines including but not limited to calculator, computer, keyboard, computer software applications, copy machine and fax machine; # Ability to receive telephone calls, respond to inquiries and effectively communicate with others; # Excellent customer service and employee relations skills; # Computer literate with excellent computer skills; # Ability to recruit prospective students; # Ability to drive a personal or university vehicle for the purpose of university business on a regular basis; # Ability to work evenings, weekends, as well as traveling when necessary ERGONOMIC REQUIREMENTS : The functions of the position usually performed sitting, but may require some amount of time standing, stooping, kneeling, bending, crouching, lifting, walking, carrying and other movements may be required. Tasks involving working on a computer keyboard, computer software applications, and calculator involve extensive wrist and hand movement. This position also requires the ability to travel whenever necessary. All individuals are required to be able to perform these movements without significant risk of injury to themselves or others. QUALIFICATION STANDARDS 1) Bachelor's degree in related field is required. 2) A minimum of three years' experience with college admissions for student services is preferred. 3) Ability to operate a vehicle in Ontario and New York State.
