Job Description:

On behalf of our healthcare client, Affinity is looking for an Organizational Specialist to optimize organization processes across teams and business units.

Responsibilities:

• Engage with key stakeholders to create a processes, guidelines, policies and procedure (PGPP) centralized inventory.

• Establish process and document management protocols for PGPP development, review and approval, aligned with the Policy Management Office requirements and guidelines.

• Ensure policies, procedures, protocols and guidelines are well documented and effective communication processes are in place to gather stakeholder requirements and feed into governance structures (such as developing required governance templates).

• Establish a framework to assess whether PGPP governance system and associated process and practices are operating effectively and in alignment with organizational priorities and objectives.

• Tracking of policies, procedures, protocols and guidelines status from development to publication.

• Work with teams to establish a framework and process, including template, for establishing, reporting, and updating on Key Performance Indicators for each portfolio, including performance objectives in alignment with organization objectives, plus metrics, targets, and benchmarks.

• Establish processes and protocols to continually evaluate the portfolio of investments, services, and assets to determine the likelihood of achieving strategic objectives and delivering value.

Risk and Audit Review:

• Establish a process for consistent risk assessment and monitoring of key goals and metrics of the risk register. Ensure the process evaluates the effect of risk on the planned activities, initiatives and projects that are being undertaken.

• Develop a framework for aligning risk criteria to strategic priority to investment plans and document the alignment between risks, priorities, and investments.

• Create a centralized framework and support for centralized audit inventory, monitoring and status updates.

Contract and Financial Management:

• Support with standardizing contract management protocols and requirements across portfolio, ensuring alignment with Supply Chain.

• Support with transition to centralized contract administration functions, ensuring consistency on contract management and administration processes in alignment with Supply Chain.

• Support with transition to consistent budget management functions, ensuring alignment with Business Planning across portfolios.

Resourcing Management:

• Establish a process for evaluating the current and future needs for resources. Ensure the process monitors the key goals and metrics of the resource management.

• Support with protocols and processes to identify key positions within portfolios to establish redundancy and increase staff retention.

Qualifications:

• A minimum of five years of relevant experience in governance, communications, key performance indicators (KPIs) and IT investments, risk review, contract and financial management, and resourcing management within a healthcare or similar organizational setting.

• A degree or equivalent in a relevant field such as business administration, healthcare administration, project management, or a related discipline.

• Training and/or certification in governance practices, risk management, contract management, financial management, and resourcing management is highly desirable.

• Strong documentation skills with the ability to support the documentation of governance practices, decision-making processes, and communication protocols across portfolios.

• Experience in establishing frameworks to assess the effectiveness of governance systems and associated processes.

• Ability to work with teams to establish frameworks and processes for establishing, reporting, and updating KPIs, performance objectives, metrics, targets, and benchmarks.

• Familiarity with reviewing and identifying updates to processes, guidance, policies, and procedures to ensure alignment with organizational objectives and metrics.

• Experience in ensuring consistent risk assessment and management practices across portfolios.

• Proficiency in standardizing contract management protocols and requirements, as well as budget management functions across portfolios.

• Ability to establish processes for evaluating current and future resource needs and monitoring key goals and metrics of resource management.

• Knowledge of protocols and processes to identify key positions within portfolios to establish redundancy and increase staff retention.

• Experience working with Supply Chain and Business Planning functions is advantageous.

• Flexibility to adapt to other organizational priorities as determined by the Executive Vice President (EVP).

• Experienced in digital and information technology organization design, processes, and policies.

• Experienced in digital and information technology governance and decision-making processes.
